About The Position

The Office of Early Childhood Education (OECE) works to ensure all children in Chicago have access to excellent early learning experiences that lead to future success in early grades and beyond. The Citywide Professional Learning Coordinator will play a critical role in the Office of Early Childhood by supporting educators and schools in providing students with high quality early learning experiences across Chicago; the Citywide Professional Learning Coordinator will align and execute professional learning logistics and operations across settings, including for educators of students with disabilities, educators of students at community based organizations, and educators of students at CPS schools. Reporting to the Manager of Professional Learning, the Professional Learning Coordinator is a citywide role that supports logistics and operations for professional learning, events, projects and initiatives across CBOs and CPS schools. This is a full-time, exempt position that will be paid for time worked on a salary basis.

Requirements

  • Bachelor’s degree from an accredited college or university
  • Minimum of one (1) year of administrative support experience
  • This role requires local travel between CPS locations, family support venues, and community-based organizations across the city; Access to reliable transportation is required
  • Detail-oriented, flexible, dedicated, and responsible individual
  • Self-starter with the ability to work both independently and as a member of a team
  • Excellent interpersonal skills and demonstrated ability to interact effectively with all levels of the staff within Chicago Public Schools
  • Willingness to learn and adapt in the midst of shifting priorities with a "can-do," solutions-oriented approach to learning and problem solving
  • Excellent organizational skills in order to prioritize multiple tasks, develop, analyze and/or revise procedures, meet deadlines, and work in an environment of heavy pressures and changing priorities.
  • Demonstrates a sense of urgency in accomplishing goals and objectives to ensure success
  • Takes initiative to identify challenges and recommend solutions; identifies, documents, and shares best practices

  • Familiarity and skill with MS Office (Word, Excel, PowerPoint, etc) and Google Suite (Google Sheets, Google Drive, Google Docs, and Gmail)

Responsibilities

  • Completes data entry, supports data tracking, and monitors data quality for professional learning enrollment, and attendance/exit slips attendance to optimize efficiency
  • Supports with mass communication to stakeholders, including publicity, emails, and internet updates, project reports and documents; prepares documents and reports as necessary under tight deadlines
  • Performs day-to-day administrative support for professional learning operations (e.g., calendar management, securing locations for professional learning/events, etc.)
  • Supports the planning of professional learning and special initiatives for OECE
  • Provides support for ordering for OECE, including coordination with vendors, submission of purchase orders, receipting, and maintaining accurate inventory of materials
  • Verifies and prepares extended day payroll for processing
  • Responsible for establishing tasks and timelines, coordinating meetings, and developing strategies to see projects through from beginning to end; attends and participates in check ins, team meetings, office-wide meetings etc.
  • Assists in the preparation of presentations & written communications; prepares and assembles materials for use at meetings, conferences, and special events
  • Other duties as assigned
