About The Position

The City of Oceanside is accepting applications for a Part Time (20 hour per week) Professional Assistant to provide administrative support in the Risk Management division of Human Resources. The position will be responsible for Health and Safety administrative support, DOT drivers, DOT DMV reimbursement, Safety Glasses program, safety boot program, and scheduling/tracking of training completion and courses. Additionally, the role will provide Risk Management administrative support, including archiving GL claims files, handling incoming mail, following up on government claim forms, and responding to initial fact-finding for potential claim calls. General administrative tasks will also be assigned, such as receiving and entering vendor insurance data, planning and scheduling meetings, and preparing meeting materials.

Requirements

  • Administrative experience is required.
  • High School diploma.
  • A current, valid, California driver's license.
  • Knowledge of customer service
  • Knowledge of computer databases
  • Ability to establish and maintain effective working relationships with other employees, City officials, outside agencies, and the general public.
  • Ability to communicate effectively both verbally and in writing.

Nice To Haves

  • A Bachelor's degree or higher in public administration, business administration, or a closely related field is desirable.

Responsibilities

  • Add/Remove drivers from online pull program, pull reports for the online system, review driver points and notify Risk/HR, pull DOT pull reports and file in driver files
  • Handle all requests for DOT medical exams, prepare treatment authorization forms and email to employee/supervisor.
  • Collect documents and file in DOT driver files
  • Process all requests for DOT DMV fee reimbursement
  • Process all requests for the Safety Glasses program
  • Process all requests for the safety boot program
  • Schedule and track training completion and courses
  • Archive of GL claims files
  • Open/sort of incoming mail for Risk Division
  • Follow up with requests for Government claim forms
  • Respond to/complete potential claim calls and initial fact finding
  • Receive and review of document submission from vendors as it relates to insurance, enter data into insurance database, communicate on vendor contacts and/or department contacts related to missing or incorrect information or documentation.
  • Plans and schedules meetings and conferences; prepares materials for meetings; and performs other related duties as assigned.
