About The Position

As the Production Scheduler / Response Coordinator at Spector, you will serve as the real-time coordination link between Customer Service, Production, and Planning. Using tools like Thermo (Capacity Planning) and the company’s ERP / Traveler systems, you will ensure production schedules are continuously optimized and communication lines remain clear and responsive. You will manage daily adjustments to the production plan, handle rapid internal and customer updates, and maintain real-time dashboards showing line capacity, bottlenecks, and priority shifts. This role combines analytical scheduling discipline with strong service communication skills, ensuring that both customer commitments and operational constraints stay perfectly aligned.

Requirements

  • 3+ years in production scheduling, ERP planning, or coordination within a manufacturing or printing environment.
  • Experience with Thermo, ERP (Macola or equivalent), and Traveler systems preferred.
  • Solid understanding of capacity planning, routing logic, lead-time management, and order prioritization.
  • Strong command of Excel / SSRS / Power BI dashboards and data reporting.
  • Familiarity with Lean / Kaizen principles and visual factory management. Yellow Belt prefered.
  • Exceptional organizational and multitasking abilities under time pressure.
  • Clear, professional communicator, both written and verbal, with customer-oriented mindset.
  • Able to collaborate effectively across multiple departments and escalate proactively.
  • Bilingual English/French strongly preferred.

Responsibilities

  • Maintain and adjust daily production schedules based on new orders, rush jobs, or cancellations.
  • Use Thermo and ERP / Traveler to visualize, forecast, and balance capacity by line and work center.
  • Identify schedule conflicts, underutilized capacity, and “quick-win” reassignments to improve flow.
  • Coordinate short-term load leveling between departments (e.g., journals, pens, packaging).
  • Support S&OP with accurate real-time inputs for daily and weekly planning cycles.
  • Act as the first-response contact for Customer Service and Sales regarding production timing or order status.
  • Provide same-day answers (target <1 hour) to all internal and key customer inquiries related to scheduling or delivery.
  • Escalate potential delays or changes proactively with data and mitigation options.
  • Maintain a transparent “what changed today” report for production supervisors and planning leads.
  • Ensure synchronization and data accuracy between Thermo, ERP, and Traveler.
  • Generate and maintain visual dashboards (e.g., Power BI or Thermo views) for live monitoring of schedule adherence, WIP, and lead times.
  • Track KPIs on daily plan vs. actual, order lead-time variance, and email response time.
  • Support root-cause analysis of missed shipments or rescheduling events.
  • Partner with Production Supervisors to re-prioritize lines without compromising quality or setup efficiency.
  • Collaborate with Customer Service, S&OP, and Logistics to align dispatch, labeling, and carrier planning with real production readiness.
  • Participate in daily Tier meetings and communicate updates on scheduling exceptions or opportunities.
  • Contribute to Kaizen / SOP Sprint events by providing data on scheduling bottlenecks or communication delays.
  • Recommend process changes that improve schedule reliability and customer responsiveness.
  • Assist in documenting standard work for scheduling procedures and email handling protocols.
