About The Position

This posting is an expression of interest for future Production Coordinator opportunities at Kickstart. While the position is not currently open and no project or start date has been confirmed, Kickstart is building a network of talented professionals for potential upcoming productions. Applications will be kept on file, and shortlisted candidates may be contacted if and when a suitable role becomes available. This role reports to the Line Producer and has check-ins with the Directors and Supervisors for the overall production coordination. This role may focus on a specific department (e.g., FX, Lighting/Comp, etc.) or provide support across departments/shows depending on production needs.

Requirements

  • University degree or equivalent industry related education preferred
  • 2+ years industry experience preferred
  • Working knowledge of FlowPT (fka Shotgrid)
  • Proficiency in Google Workspace, and Slack
  • Experience in 3D animation, and bonus points for specifically working within several different stages of the pipeline
  • Strong organizational and project coordinating skills; able to adapt to shifting priorities
  • Must be capable of working independently or as part of a team
  • Demonstrates initiative, is a problem solver, knows when to escalate issues
  • Must have strong communication (both verbally and written) and interpersonal skills
  • Ability to maintain confidentiality
  • Solid work ethic and positive attitude
  • Efficient, detail-oriented, strong organizational skills
  • Ability to deliver work on time and meet established performance objectives

Nice To Haves

  • High level of experience using Flow PT (fka Shotgrid)
  • Experience with project management software
  • Experience working with distributed teams across multiple locations and time zones.

Responsibilities

  • Provide daily and weekly updates to the Line Producer flagging key priorities and progress against the established schedule.
  • Track and communicate status updates (deliverables, quotas, targets) to the Line Producer and Supervisors, ensuring accurate information is maintained in FlowPT (fka Shotgrid).
  • Follow protocols from the studio IT and Pipeline team for pipeline tools, naming conventions, and file management procedures, and notify them of any issues or questions. Ensure that naming conventions are strictly followed across all departments and phases of production.
  • Coordinate with partner studios across multiple locations and time zones to ensure production materials, file deliveries, assignments, reviews, notes, and feedback are delivered, tracked, and communicated accurately and in a timely manner.
  • Assist with task assignments to artists in alignment with the production schedule, confirming due dates with the Line Producer and/or department Supervisors.
  • Work with Artists to ensure they have all required materials to complete assignments, and help them manage time to get through their workloads. While coordinating with the supervisors to address any creative questions/concerns.
  • Work with vendors and internal supervisors to ensure accurate assignments, prompt feedback and daily reviews, under guidance of Producer/Director.
  • Take notes at meetings and disseminate to the team within 8 hours (or less).
  • Ensure all tasks are assigned, and that tasks, notes, and production status are accurately tracked and maintained within FlowPT (fka Shotgrid).
  • Act as liaison between departments, facilitating communication and helping to identify and resolve potential bottlenecks.
  • Assist with kickoff assignments with Artists by going over how to submit to FlowPT/save their work etc before the Directors/Supervisors do the actual kickoffs.
  • Flag potential delays or delivery risks early, escalating to the Line Producer as appropriate.
  • Provide production and administrative support to Producers and Directors as required.
  • Manage all assets on the production to meet studio standards and ensure proper naming conventions are used.
  • Prepare and distribute materials for any outside vendors and deliveries as required for their department.
  • Create production reports for their assigned departments and provide to the line producer as required.
  • Schedule meetings and reviews, ensuring necessary materials are prepared and participants are notified.
  • Interact respectfully and professionally with colleagues, other staff members, partners, and clients.
  • Work collaboratively across multiple productions and departments as required.
  • Foster and mentor the development of Studio junior production support roles on day-to-day tasks.
