About The Position

We are seeking a highly motivated, fast-paced professional who thrives in a deadline-driven, team-oriented environment and demonstrates a strong willingness to learn. In this role, you will work under the direction of senior team members and support the production department across a range of operational activities, including order processing, purchasing, vendor expediting, receipt and verification of raw materials, and maintenance of open and completed job files. Strong verbal and written communication skills are essential to effectively coordinate with internal teams and external partners.

Requirements

  • Bachelor's degree from an accredited university or college with 0-2 years experience (or a high school diploma / GED with at least 4 years of relevant experience)
  • General knowledge of basic computer software programs.
  • Strong organizational and project management skills.
  • Ability to effectively manage multiple tasks including purchasing office and shop supplies, assembly and preparation of invoice documentation.
  • Knowledge of QMS and process “Understanding the structured framework of policies, processes, procedures, and resources an organization uses to plan, execute, and control quality, ensuring products or services consistently meet customer and regulatory requirements.
  • Ability to work across disciplines and organizations in a team environment.
  • Excellent attention to detail.

Nice To Haves

  • Proficient in Excel, Word, and Adobe.
  • Knowledge of Realtrac software.
  • Manufacturing environment experience preferred.
  • Knowledge of Oil and Gas industry.

Responsibilities

  • Provide comprehensive administrative and operational support in the day-to-day management of machine shop operations, including order processing, purchasing, invoicing, job scheduling, coordination with external vendors, receipt and verification of raw materials, and maintenance of active and completed job files.
  • Maintain accurate, organized, and current records, and collaborate closely with internal teams in Houston and Tulsa to ensure efficient and aligned operations.
  • Monitor and support operational processes to ensure they are functioning effectively and achieving intended outcomes.
  • Support management by providing input on the performance of the Quality Management System (QMS), including identifying opportunities for improvement, required changes, and potential innovations.
  • Promote and reinforce a strong customer-focused culture through daily activities and interactions.
  • Assist in maintaining the integrity, compliance, and ongoing effectiveness of the Quality Management System.
  • Perform all assigned duties in alignment with organizational goals, policies, safety standards, and performance expectations.
  • Safely operate company vehicles to procure supplies and to pick up or deliver materials in support of business needs.
  • Assist with shop floor activities as required, including material receiving and handling, operation forklifts or overhead cranes, and support of machine shop operations as needed.
  • Promote personal accountability for Health, Safety, Security, and Environment (HSSE) by adhering to the principles and guidelines outlined in HMH's HSSE governing policy.
