About The Position

Join our dynamic team and serve as the central operational link between the shop floor, engineering, project management, and quality control as our new Production Adminstrator! You'll be instrumental in maintaining production schedules, tracking job progress, and ensuring our machinists and project teams have the materials and data needed to deliver on time, directly impacting our support of critical national defense programs and heavy industry. Applicant must be a US citizen. Access to DoD facilities is required. Company is not able to sponsor work visa for this position.

Requirements

  • 1–3+ years of experience in production administration, project coordination, or operations support (manufacturing or machine-shop environment preferred).
  • High school diploma or equivalent required
  • High proficiency with Microsoft Office, specifically Excel (formulas, pivot tables, data tracking).
  • Familiarity with ERP/MRP manufacturing software (e.g., JobBOSS, Epicor, ProShop) or scheduling tools like MS Project.
  • Basic familiarity with machine-shop tools, workflows, and high-tolerance manufacturing terminology—or a demonstrated aptitude to learn them quickly.
  • High attention to detail, strong cross-functional communication, and the ability to reprioritize quickly as production needs shift.
  • Must have good time management skills to manage multiple priorities, jobs, and reports within the same day.
  • Language skills - effectively communicate and understand job instructions both verbally and written in the English language. Ability to effectively interpret and translate operational status to other team members in a professional and respectful manner.
  • Candidate must be able to pass a background check to gain access to sites that perform work on US DoD Contracts (on-site).
  • Must be a US citizen.

Nice To Haves

  • associate degree, technical certification, or relevant vocational training is a plus.

Responsibilities

  • Maintains live production schedules and tracks shop floor labor hours against job budgets.
  • Monitors real-time job progress and tracks deliverables from prototype to final inspection.
  • Acts as a daily liaison between machining, engineering, quality, and project managers to surface bottlenecks and keep work flowing.
  • Generates and distributes weekly production, capacity, and job-cost reports for operations leadership.
  • Monitors raw material availability and hardware staging to proactively flag potential shortages or lead-time delays.
  • Assists estimators with job data, routing history, and administrative support during bid and proposal development.
  • Routes operational paperwork, job packets, and documentation to the proper departments for action.
  • Promotes a safety-first shop culture while supporting continuous improvement initiatives.
  • Other general administrative and operational support tasks as needed depending on factory workflow.
