About The Position

The Producer is the day-to-day contact for our clients and manages all production components of a project from start to finish. Managing all aspects of production and operation from logistics to vendor management, all the way through to show activation and post production reconciliation. You will manage client relationships and liaise with other departments to ensure client satisfaction and to ensure accurate specifications and details are communicated to our vendors. You will also be responsible for portions of or complete all expenses and reconciliation related to your project. You will be expected to travel and conduct site visits and onsite rehearsals.

Requirements

  • At least 3-5 years of experience managing events
  • Understand event industry norms such as: Venue contracting – the overall process, including concessions; Housing – room blocks, shoulder dates, cumulative blocks, and attrition; Catering – food and beverage minimums
  • Budget and financial tracking experience.
  • Strong computer and technology skills, especially Excel, Outlook, and Word
  • Ability to take initiative to learn and produce high quality work
  • Onsite team management experience
  • Ability to collaborate with others and work well on a team
  • Display a positive attitude in all interactions with internal and external customers
  • Flexibility and willingness to assist colleagues with projects and tasks outside of job requirements
  • Passport required for travel

Responsibilities

  • Manage project budgets, ensuring profitability by maintaining gross margin goals, updating budgets, and tracking actual costs in real-time.
  • Oversee the Coordinator and project team in tracking expenses, ensuring accurate cost entries, and staying within budget parameters.
  • Source, negotiate, and manage project vendors—including venues, fabrication, AV, printers, caterers, graphic designers, artists, and developers—while securing contracts and optimizing pricing to maximize profitability.
  • Manage timelines and deadlines for all vendors (e.g., venues, AV, fabrication, print, catering, graphic design, etc.).
  • Actively participate in creative ideation, ensuring concepts are aligned with the budget and feasible for production before client presentation.
  • Maintain updated client-facing creative decks and ensure timely updates for weekly client calls.
  • Ensure the final experiential and creative deliverables match project specifications and align with the client's vision.
  • Collaborate with the Technical Director and Art Director to review fabrication production.
  • Oversee print graphic production, coordinating with print vendors and graphic designers to ensure all deliverables are met.
  • Communicate client needs clearly to internal teams and external vendors as required.
  • Lead weekly client calls, following a prepared agenda, and issue post-call debriefs and recap emails.
  • Create or oversee essential project documentation (e.g., workback timelines, staffing grids, onsite production schedules, print grids, deliverables grids, contact sheets).
  • Conduct site visits and onsite meetings with vendors, including catering tastings and scenic builds.
  • Develop Run of Show (ROS) in collaboration with the client and provide it to the show team as necessary.
  • Ensure the safety of all staff and guests during the event. In case of emergencies, handle incident reporting and communicate with authorities and senior management.
  • Reconcile receipts with the Coordinator and close out budgets in partnership with the EP and Operations.
  • Oversee post-event activities, including client follow-ups, storage logistics, and event reconciliation.
  • Write event summaries, share photos for internal files and social media, and ensure all files are transferred from freelancers to the agency.
  • Supervise location research, sourcing and purchasing
  • Development of onsite crew schedules in collaboration with the Coordinator.
