About The Position

The Staffing Specialist maintains appropriate staffing and scheduling levels across Macy’s Distribution Centers to support operational and workforce requirements. This role analyzes staffing-related expenses, monitors workforce utilization, and helps ensure labor resources align with business needs. The Staffing Specialist also supports compliance with Corporate Audit requirements by ensuring adherence to financial controls, staffing processes, and reporting standards.

Requirements

  • Workforce Planning & Scheduling: Ability to analyze workload demand, forecast labor needs, optimize staffing levels, and develop schedules that balance operational requirements, productivity, and labor costs.
  • Data Analysis & Reporting: Ability to interpret workforce, scheduling, productivity, and financial data; identify trends; perform variance analysis; and provide actionable recommendations to leaders.
  • Financial Acumen: Knowledge of labor expense management, budget planning, payroll controls, general ledger processes, and financial reporting to support cost-effective staffing decisions.
  • Workforce Systems & Technical Proficiency: Proficiency with workforce management and reporting tools, including Kronos, Excel, and other workforce planning systems used to manage schedules, timekeeping, and labor analytics.
  • Operational Execution: Ability to manage multiple priorities, maintain accurate staffing records, monitor workforce metrics, and ensure day-to-day staffing operations run efficiently and effectively.
  • Communication & Partnership: Strong verbal and written communication skills with the ability to collaborate effectively with Operations, Human Resources, Finance, and colleagues at all levels of the organization.
  • Problem Solving & Decision Making: Ability to assess workforce challenges, identify root causes, evaluate options, and make sound decisions that support business objectives and operational performance.
  • Attention to Detail & Compliance: Strong attention to detail with the ability to maintain accurate records, ensure policy compliance, support audit requirements, and uphold financial and workforce controls.
  • Organization & Time Management: Ability to manage competing priorities, meet deadlines, maintain reporting accuracy, and respond with urgency in a fast-paced distribution environment.
  • Relationship Building & Customer Focus: Ability to build effective working relationships, provide responsive support to business partners, maintain confidentiality, and deliver high-quality service to internal stakeholders.

  • This position requires heavy lifting, constant moving, remaining in a stationary position, and reaching with arms and hands. Involves remaining in a stationary position for at least two consecutive hours, lifting at least 30 lbs. stooping, kneeling, crouching, and climbing ladders. May involve reaching above eye level. Requires close vision, color vision, depth perception, and focus adjustment.
  • Able to work a flexible schedule, including days, evenings, weekends, and holidays, based on department and company needs.

Responsibilities

  • Partner with Operations leaders to ensure staffing levels align with workload demands and business needs.
  • Collaborate with Operations to develop weekly staffing schedules and provide daily staffing adjustments as needed.
  • Analyze staffing levels against projected workload to determine the optimal full-time and part-time staffing mix and maximize productivity.
  • Partner with Human Resources to provide staffing recommendations and workforce planning support.
  • Administer associate call-in processes in accordance with company policies and attendance guidelines.
  • Run weekly audits to ensure associates meet minimum and maximum scheduled hour requirements.
  • Validate timekeeping records in Kronos, verify schedules, and correct clocking discrepancies as needed.
  • Ensure associates are accurately charged to the appropriate general ledger accounts.
  • Maintain the Learning Matrix and cross-training records for part-time associates.
  • Monitor and maintain overtime, average hours, and other workforce reporting metrics.
  • Support expense management efforts by reviewing labor-related expenses and maintaining established expense controls.
  • Provide staffing and labor data required for ROF reporting and assist with seasonal and annual budget planning activities.
  • Monitor monthly expenditures against budget and prepare meaningful variance analyses in partnership with the Finance Manager.
  • Support month-end and year-end close activities by ensuring timely and accurate recording of labor expenses, allocations, and related financial transactions.
