About The Position

The Procurement & Material Management Specialist is responsible for supporting the organization's operational efficiency through strategic procurement, inventory control, and coordination of materials, supplies, and equipment. This role ensures the timely and cost-effective acquisition of goods, maintains accurate inventory, records, and supports logistics, safety supply management, and cross-departmental needs. The Specialist collaborates with internal teams and external vendors to uphold quality standards, ensure compliance, and contribute to seamless day-to-day operations.

Requirements

  • High school diploma or equivalent required.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Excellent communication skills, both verbal and written.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Flexibility and adaptability to work in a dynamic environment and willingness to take on new challenges.
  • Strong work ethics and a positive attitude with a willingness to collaborate and contribute to team goals.
  • Ability to work independently with minimal supervision.

Nice To Haves

  • College degree or 3 –5 years relevant experience preferred.
  • ERP experience is preferred.
  • Forklift experience is preferred.

Responsibilities

  • Source, procure, and track materials, supplies, and equipment in alignment with operational needs and budget guidelines.
  • Communicate with vendors to obtain pricing, confirm orders, resolve issues, and ensure timely delivery.
  • Maintain vendor records and support evaluation of supplier performance.
  • Maintain accurate inventory levels of materials, parts, PPE, and supplies.
  • Monitor stock usage, establish reorder points, and coordinate replenishment to prevent shortages or overstock.
  • Conduct routine inventory counts and reconcile discrepancies.
  • Coordinate inbound and outbound shipments.
  • Receive, inspect, and verify incoming goods for accuracy and quality; document and resolve discrepancies.
  • Ensure proper storage, labeling, and distribution of materials to appropriate departments.
  • Partner with the Safety Department to monitor and maintain adequate levels of PPE and first-aid supplies.
  • Assist in coordinating safety meetings and tracking safety related inventory throughout the property.
  • Maintain accurate procurement, inventory, and vendor data within ERP and other systems.
  • Generate reports related to purchasing, inventory levels, and usage to support operational planning and decision making.
  • Provide general administrative support as needed, including handling correspondence, coordinating schedules, and assisting with documentation related to procurement and materials management.
  • Serve as a point of contact for internal departments and external vendors, ensuring responsive, professional communication and timely resolution of requests or issues.
  • Identify opportunities to improve procurement processes, inventory control, and efficiencies.
  • Assist with special projects, audits, and process improvements as assigned.
  • Performs other related duties as assigned.
