About The Position

Zoe Feldman Design is seeking a detail-oriented and proactive Procurement Assistant to join their Washington, DC team. This role is crucial to managing the procurement process for high-end residential projects, from initial order to final installation. The Procurement Assistant will collaborate closely with the Procurement and design teams to bring sophisticated design visions to life. The ideal candidate thrives in a fast-paced environment, possesses strong problem-solving skills, and takes pride in seamless execution.

Requirements

  • 0-2 years of experience in procurement, logistics, operations, or a related role, preferably within an interior design or architecture firm
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple orders and priorities simultaneously
  • Clear written and verbal communication skills
  • Proactive, solution-oriented mindset
  • Ability to follow established processes while identifying issues and escalating appropriately
  • Collaborative team player with a supportive, service-driven approach
  • A valid driver's license is required
  • Access to a car is strongly preferred

Nice To Haves

  • Bachelor’s degree in Business, Supply Chain, Interior Design, or a related field preferred
  • Familiarity with interior design procurement processes and terminology
  • ClickUp (or other project management software) experience preferred
  • Studio Designer experience preferred

Responsibilities

  • Prepare projects for upcoming installations by tracking all items throughout production and shipment.
  • Monitor orders from placement through delivery to the workroom, warehouse, or office.
  • Work closely with receiving warehouses to ensure all delivered items are received, checked in, and documented accurately.
  • Manage received packages and notify design teams when items are ready for inspection.
  • Assist design teams and the Procurement Manager with scheduling deliveries as needed.
  • Assist with order management, including processing, tracking, and managing purchase orders.
  • Update order status and tracking information in Studio Designer accurately and consistently.
  • Keep project teams informed of major delays or procurement-related concerns.
  • Flag discrepancies, damages, or issues for review by the Procurement Manager.
  • Maintain and manage all ZF inventory, including adding new items and removing sold or reallocated products.
  • Update Studio Designer with new inventory items and status changes.
  • Communicate available inventory to design teams and promote reuse or resale across client projects.
  • Maintain organized, accurate records of unused or in-stock products.
  • Work closely with the Procurement Manager to support studio-wide procurement operations.
  • Coordinate with project teams to ensure procurement needs are met efficiently.
  • Contribute to consistent procurement standards and workflows across the studio.
  • Help keep the office package space and offsite storage unit organized.
