Requirements

  • 1-3 years of experience in construction administration or procurement.
  • Strong organizational skills and attention to detail; able to manage multiple job sites and vendors.
  • Consistent file organization and version-control habits.
  • Proficiency with Microsoft 365; familiarity with Egnyte is a plus.
  • Strong written and verbal communication; ability to handle sensitive documents with discretion.
  • Comfortable working onsite near active construction areas.
  • Ability to lift up to ~50 lbs occasionally (files, boxes, small parts).

Responsibilities

  • Enter and categorize vendor invoices; track approval status and follow up as needed.
  • Complete project tie-outs by filing receipts, photos, and warranties into the correct Egnyte project/cost-code folders.
  • Provide general support to the Senior Accountant.
  • Maintain clear Egnyte folder structures and naming conventions for contracts, permits, plans, vendor documents, photos, and warranties.
  • Track document versions; ensure current files are accessible and archive outdated sets.
  • Prepare simple document packets for inspections, reviews, or bids; collect signatures and distribute.
  • Collect, scan, and organize W-9s, COIs, ACH forms, and other compliance documents; maintain up-to-date vendor files.
  • Collect and file receipts by project, cost code, and month.
  • Maintain vendor contact sheets; request quotes and lead times as directed.
  • Benchmark pricing on frequently purchased items and recommend cost-effective alternatives; assist in onboarding new vendors.
  • Compile a daily AP invoice summary for Senior Accountant review and purchasing approval.
  • Solicit RFQs, prepare bid tabs, and coordinate supplier pricing, availability, and lead times.
  • Track materials from order to jobsite; schedule deliveries and confirm access requirements.
  • Support communication between accounting and administrative staff.
  • Set up and manage accounts with OMS subcontractors.
  • Work with design architects and company leadership to source competitive pricing for finishes, FFE, and related items.
  • Manage project document control, including drawings, specifications, addenda, RFIs, submittals, transmittals, and meeting minutes.
  • Log and route submittals for review; notify vendors/subcontractors of approvals or required revisions.
  • Prepare and update job books, project directories, and submittal registers.
  • Assist with change orders, maintain logs, and distribute updated documents.
  • Track permits, inspections, and project closeout deliverables (O&Ms, warranties, as-builts).
  • Coordinate logistics for deliveries, equipment rentals, and mobilization/demobilization.
  • Draft and proof simple memos and updates; maintain trackers and distribution lists.
  • Manage incoming/outgoing mail and shipments.
