About The Position

The Administrator is responsible for providing and carrying out general administrative support for the department. This position involves the procurement and order placement for equipment, services, supplies needed for operations. This position verifies purchase requisitions by reviewing items requested; clarifying unclear items; negotiating prices, recommending alternatives. This position involves organizing and storing documents, updating records, and responding to order issues. Requests RFPs, involves projects, contracts, credit card, and travel administration.

Requirements

  • High School Diploma or GED; or equivalent combination of experience and education
  • Strong written and verbal communication skills and ability to effectively communicate within all levels of the organization
  • Strong overall experience with MS Office
  • Previous purchase order software experience helpful – ReqLogic a plus

Responsibilities

  • Prepares purchase orders by verifying specifications and price, obtaining recommendations from suppliers for substitute items.
  • Obtains purchased items by assigning PO numbers, forwarding orders to suppliers, and expediting orders.
  • Resolves shipments in error with suppliers when request for assistance from requisitioner is needed.
  • Keeps information accessible by keeping a catalog in the Purchasing Database.
  • Request for proposals for services and products and negotiating pricing.
  • Work with temporary staffing agencies and temp staffing purchase orders.
  • Special projects such as purchasing and corporate improvement projects.
  • Services 20 locations with multiples cost centers in each.
  • Assists with Startup of new facilities, vendor roll on, contract transfer, new services, etc.
  • Receives vendor requests, requests, and collects data from vendors and processes vendor files for approval.
  • Continuous attention to process and profit improvement through application of innovative procurement solutions.
  • Credit card and expense administration.
  • Cell phone expense management.
  • Certificate of Insurance Tracking
  • FedEx account administration.
  • Contract administration.
  • Policy and Procedure creation.
  • Purchasing Training to other associates.
  • Follow corporate and site-specific Good Manufacturing Practices and report noncompliance when observed.
  • Observe all company safety rules and assist in enforcement as appropriate.
  • Other duties as assigned.
