Responsibilities include processing numerous documents in a timely and efficient manner, working with various firm and industry systems and enjoys process improvement and automation of technology. The Document & Workflow Services Team is responsible for converting physical documents into digital formats to streamline organizational processes. The team uses high speed scanners, OCR software and secure document management systems to capture, index and store documents electronically. Once digitized, documents are integrated into operational workflows.

Requirements

  • High school diploma or equivalent is required. A college degree is preferred.
  • 1-2 years relevant experience in an operations/processing position in the brokerage, banking or financial services industries is strongly preferred.
  • Must be comfortable working in a fast paced, team-oriented environment, stay organized to perform and prioritize multiple tasks.
  • Must be able to demonstrate strong attention to detail and commitment to accuracy and quality to ensure department goals and deadlines are met or exceeded.
  • Strong customer service focus that supports firm's commitment to exceed client needs and resolving client escalation timely and accurately.
  • Must have excellent written and verbal communication skills.
  • Previous experience with Microsoft Office tools and spreadsheets is required.
  • Strong analytical and problem solving skills with the ability to apply procedures and guidelines consistently is required. Must have ability to make proper judgement calls based on analysis of available information.
  • It is a requirement of this candidate to be onsite M-F, HQ North Campus - 201 Progress Parkway

Responsibilities

  • Responsible for effectively and accurately processing routine and non-routine activities/transactions by drawing on multiple information sources and understanding multiple effects of a transaction. Activities may not follow a pre-determined path, rather will require discretion and use of judgment. Functions may include, but are not limited to: verifying documents for completeness, adjustments to customer and/or firm accounts, performing calculations relating to exceptions and corrections, and be able to effectively communicate with financial advisors, internal headquarter associates and vendors.
  • Requires understanding of the brokerage industry and in-depth knowledge of area systems, processes and procedures including those of related departments and divisions.
  • Serve as subject matter expert to others, both within and outside of the area. Share knowledge, ideas and solutions. Ability to identify process improvement opportunities and leverage resources to implement.
  • Handle escalated issues requiring in depth research, communication with other areas of the firm and/or outside contact and work directly with the branch on resolution.
  • Retain knowledge of several systems and processing guidelines.
  • Maintains performance standards and expectations while increasing contribution to department initiatives
  • Effectively use knowledge and resources to ensure processing is compliant with regulations and current policies.
  • Assists the department in identifying trends for the purpose of simplifying procedures and creating efficiencies for branch teams and home office.
  • Establish and maintain effective communications and relationships within business areas, service providers and vendors.
