About The Position

The Procedure Scheduler plays a critical role in the healthcare delivery process by efficiently coordinating and scheduling medical procedures for patients within a healthcare facility. Requirements

  • Effective communication skills are essential for interacting with patients to provide clear instructions and for coordinating with healthcare providers to confirm procedure details.
  • Familiarity with EHR systems and scheduling software enables the scheduler to accurately input and update patient and appointment information, reducing errors and improving workflow.
  • Problem-solving skills are applied when resolving scheduling conflicts or addressing last-minute changes to minimize disruption.
  • Knowledge of medical terminology and insurance processes supports accurate verification and authorization, contributing to a seamless scheduling experience for both patients and clinical teams.
  • High school diploma or equivalent required; associate degree or higher preferred.
  • Previous experience in medical scheduling, healthcare administration, or a related field.
  • Familiarity with electronic health record (EHR) systems and medical scheduling software.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both verbal and written, to interact effectively with patients and healthcare professionals.

Nice To Haves

  • Certification in medical office administration or healthcare scheduling (e.g., Certified Medical Administrative Assistant).
  • Experience working in a hospital or outpatient clinical setting.
  • Knowledge of medical terminology and healthcare insurance processes.

Responsibilities

  • Coordinate and schedule medical procedures by communicating with patients, physicians, and clinical staff to confirm availability and requirements.
  • Verify patient information, insurance coverage, and pre-authorization status to ensure compliance with healthcare policies and reduce scheduling errors.
  • Maintain accurate and up-to-date scheduling records in electronic health record (EHR) systems and other scheduling software.
  • Manage appointment changes, cancellations, and rescheduling promptly while minimizing disruptions to clinical operations.
  • Provide patients with clear instructions regarding their procedures, including preparation guidelines and arrival times.
  • Collaborate with multiple departments such as radiology, surgery, and outpatient services to optimize resource utilization and appointment flow.
  • Address patient inquiries and resolve scheduling conflicts with professionalism and empathy.
  • Monitor daily schedules to identify and resolve potential bottlenecks or overbooking issues.
