About The Position

The position performs non-oath support functions associated with probation casework, including intake procedures, assisting with probationer monitoring, closing cases, and other assigned duties. This role operates under the guidance of the District Court Manager and/or Probation Officers and is distinguished from a Probation Officer by its narrower scope and lesser degree of independent decision-making. Incumbents will not routinely appear in court except for training purposes.

Requirements

  • High school diploma or GED equivalent.
  • Two (2) years of college coursework in Corrections, Criminal Justice, Social Science, Education, or a related field.
  • One (1) year of experience performing duties that would provide the required knowledge, skills, and abilities.
  • An equivalent combination of education and/or experience may be considered.
  • Possession of a valid Washington Driver's License at time of hire and for the duration of employment.
  • Successful completion of a criminal background check.
  • Knowledge of the adult criminal justice system.
  • Knowledge of concepts and techniques used in interviewing, counseling, data collection, report preparation, and record maintenance.
  • Knowledge of preparation of business correspondence including letter writing, use of appropriate grammar and punctuation.
  • Skilled in communicating effectively both orally and in writing, sufficient to exchange or convey information and to give and receive work direction.
  • Skilled in establishing and maintaining effective working relationships with staff, community and social agencies, general public, court and department supervisors.
  • Skilled in the use of personal computers, including word processing, spreadsheets, databases, and a variety of software.
  • Ability to work independently and with good judgment, recognizing when supervisory direction/intervention may be required; consistently make good decisions.
  • Ability to effectively work and communicate (both verbally and in writing) with individuals and groups from a variety of social, economic, ethnic, and racial backgrounds.
  • Ability to maintain strict confidentiality.
  • Ability to understand, interpret, and appropriately apply laws, rules, regulations, and procedures pertinent to the area of assignment.
  • Ability to write clear and concise notes and reports.
  • Ability to multi-task and complete work with numerous interruptions.

Responsibilities

  • Assists Probation Officers with caseload management activities, including case reviews, scheduling appointments, and data entry into electronic case files.
  • Monitors minimal or low-risk supervision cases.
  • Conducts office visits and one-on-one meetings with offenders to explain sentencing or Stipulation of Continuance (SOC) agreement conditions.
  • Completes intake interviews, coordinates and submits treatment referrals, and provides information on community treatment resources and Court-ordered classes.
  • Provides information on basic community resources to defendants.
  • Conducts research on treatment providers in other states for defendants residing elsewhere.
  • May schedule future appointments for Therapeutic Court Probation Officers, DUI, Mental Health, or Veteran’s Therapeutic Court.
  • Reviews and uploads reports such as Ignition Interlock, Drug Test Screenings, Electronic Home Monitoring, and SCRAM reports for Probation Officers.
  • Processes mail and incoming fax reports, scanning them into the District Court Probation application.
  • Uploads Court Orders and other reports into Imaging for the District Court.
  • Contacts outside agencies for verification of court-ordered compliance and maintains detailed records of contacts.
  • Informs Probation Officers of non-compliance and monitors compliance of treatment obligations with professional treatment providers.
  • Researches first appearance notifications for new charges on monitored cases, active and Bench Probation.
  • Reports offender noncompliance with sentence conditions to the Court.
  • Generates violation reports for new arrests or first appearances.
  • Orders police reports from various systems including Law Enforcement Reporting Management System (LERMS), Washington State Patrol (WSP), or National Criminal Information Center (NCIC).
  • Collects data statistics on all Court orders received and probation fees ordered, reduced, or waived.
  • Assists with reception coverage and scheduling of classes for Court-ordered classes such as Alive @25, Defensive Driving, Anger Management, and Theft Awareness.
  • Assists in monitoring case progress and information gathering for banked or Bench Warrant case audits and closures.
  • Generates and sends dismissal letters to the Court on SOC’s and Bench Probation cases.
  • Makes detailed case note records and brings new information/issues to the attention of the probation officer.
  • May accompany Probation Officers to Court hearings, field work, or other community work in limited circumstances.
  • May participate on internal work groups and/or committees.
  • Performs other related duties as required/assigned.
