About The Position

This position is a Developmental Underfill Opportunity and may be filled at the Probate Examiner job profile level. The Oregon Judicial Department (OJD) serves the public, and the work done in this role affects members of the community who come to the court to have their cases resolved. The Judicial District is located in the southwest corner of Oregon and includes Coos and Curry counties. The courthouses are located in the cities of Coquille and Gold Beach. The Coos County Circuit Court in Coquille, Oregon and the Curry County Circuit Court in Gold Beach, Oregon, is hiring a Probate Commissioner (Probate Examiner Developmental Underfill Opportunity).

Requirements

  • Probate Commissioner Minimum Qualifications: Bachelor’s degree in business, court administration, public administration, or a related field AND at least three (3) years of professional legal secretarial, progressively responsible court support, or paralegal experience. OR Any combination of education and experience equivalent to seven (7) years of experience that typically supports the knowledge, skills, and abilities for the position.
  • Probate Examiner Minimum Qualifications: Bachelor’s degree in business, court administration, public administration, or related field AND at least two (2) years of professional legal secretarial, progressively responsible court support, public or private law firm, public guardian, public conservator, fiduciary or paralegal experience. OR Any combination of education and experience equivalent to six (6) years of experience that typically support the knowledge, skills, and abilities for the position.
  • Experience performing a variety of clerical or administrative support tasks with strict deadlines in a business or professional setting.
  • Experience using a computer and different software programs to accomplish a variety of tasks that include data entry, looking up accounts or cases, scheduling events in electronic calendars, tracking deadlines, and updating information.
  • Experience providing customer service to a variety of individuals in challenging circumstances.
  • Experience explaining processes, procedures, policies, or decisions on behalf of an employer.
  • Skill in writing and reviewing documents for accuracy and completeness.
  • Experience identifying and safeguarding confidential information and materials.
  • Experience monitoring and analyzing reports and cases and developing policies and procedures within set guidelines.
  • Must be able to pass a skills test for bilingual skills (includes ASL) if assigned to use those skills on the job.
  • Must complete the U.S. Department of Homeland Security’s I-9 form confirming authorization to work in the United States within three days of hire.
  • Must be subject to a criminal background check if a finalist.

Responsibilities

  • In charge of probate and protective proceeding matters for the entire District.
  • Prepare and sign orders for appointing visitor.
  • Accept general and simple state filings, adult and minor protective petitions; accept and track filings of annual accounting, inventory, guardian reports, and case related documents.
  • Review documents for accuracy, completeness, and determine compliance.
  • Assist all parties at the customer service counter via in-person, phone, or email.
  • Be a backup for the program coordinator in Aid and Assist matters for Coos County and may coordinate Aid and Assist matters in Curry County.
  • Act as backup for civil commitment cases and Notices for Mental Illness documents.
  • Coordinate court appointed counsel and civil commitment hearings.
  • Perform courtroom duties including operating the For-The-Record (FTR) equipment.
  • Test the system, monitor the audio; monitor the creation of detailed log notes.
  • Assigned tasks may be changed to accommodate workload and organizational needs.
