About The Position

The Private Investment Operations Associate coordinates operational work supporting private investments, from subscription paperwork through funding and recordkeeping. The role helps ensure approved transactions are processed accurately, deadlines are tracked, and advisors and internal partners receive clear updates on open items. The position is based in the Houston, Texas office and requires working in the office five days a week.

Presidio Wealth Partners (“Presidio”), an advisory practice of Hightower, provides investment management and advisory services to wealthy individuals and business owners. Presidio manages $3 billion in assets, including approximately $1 billion in alternative investments, and provides an outsourced family office experience focused on asset management and customized financial planning. Its services include investment, financial, and retirement planning for individuals, foundations, and family offices, as well as 401(k) consulting and cash management services for corporations. Presidio has 20 full-time employees: eight advisors and 12 supporting staff members. Hightower is based in Chicago, with advisors across the United States, and operates as a registered investment advisor (RIA).

Requirements

• At least 3 years of professional work experience.
• Strong organization and attention to detail, with the ability to manage multiple priorities and deadlines.
• Clear written and verbal communication skills and confidence following up with internal teams and outside contacts.
• Good judgment when handling confidential information and willingness to raise questions or exceptions promptly.
• Proficiency with Microsoft Office, especially Outlook and Excel.
• High school diploma or equivalent required.
• Applicants must be U.S. citizens, U.S. permanent residents, or otherwise have unrestricted U.S. work authorization, and must not require sponsorship now or in the future.

Nice To Haves

• Experience in financial services, investment operations, client service, or administrative support is preferred.
• Additional education is welcome.
• Experience with private investments, custodial portals, or investment operations is preferred but not required.

Responsibilities

• Coordinate subscription paperwork for approved private investments, including preparing documents from available information and tracking signatures, submissions, and deadlines.
• Review subscription packages for completeness and consistency, follow established compliance and supervisory procedures, and escalate missing information or exceptions before submission.
• Coordinate with custodians and investment sponsors to submit subscriptions, process capital calls, and confirm funding completion.
• Track upcoming deadlines and outstanding items; follow up with internal teams, custodians, and sponsors to keep transactions moving.
• Maintain organized records of subscription documents, capital call notices, sponsor correspondence, and transaction confirmations in the firm’s designated systems.
• Coordinate requests to update or retitle private investment assets under custodian and firm procedures; refer legal or ownership questions to the appropriate reviewer.
• Provide timely status updates to advisors and internal partners, including completed items, open items, and items requiring attention.
• Identify recurring process issues and recommend practical improvements to accuracy and workflow.
• Perform other related duties as assigned.
