Position Overview: Private Event Assistant Coordinator We are looking for a highly organized, detail-oriented, and enthusiastic Private Events Asst. Coordinator to support our Private Events Director and contribute to the success of our private event operations. This role requires exceptional communication skills, a love for hospitality, and the ability to manage multiple priorities with professionalism and warmth. Responsibilities

  • Serve as a key point of contact for clients during the planning process
  • Coordinate, schedule, and lead group tasting appointments
  • Send and manage invoices, process deposits, and maintain accurate payment schedules
  • Cross-check client payments with the Reserve CRM system
  • Assist with client drop-off meetings and wedding rehearsals in the days leading up to events
  • Send post-event “Thank You” emails with links to feedback surveys
  • Finalize and update all event details and Banquet Event Orders (BEOs)
  • Greet event contacts and introduce them to the Food & Beverage Team
  • Capture and post event photos to GroupMe
  • Keep event pages up to date with current photos and videos
  • Maintain strong online presence to attract and engage new clients
  • Develop creative, on trend ideas for online presence
  • Continuously update BEOs throughout the planning process
  • Prepare and distribute the current batch of BEOs during meetings
  • Share updated BEOs with relevant staff daily (process to be defined)
  • Take event inquiries and gather all relevant information
  • Check availability and send menus when the Private Events Director is unavailable
  • Provide venue tours and confidently represent the Private Events Director as needed
  • Create basic proposals using the Reserve system
  • Update menus in Canva and Reserve
  • Help drive social media coverage of events and stay informed on trends
  • Request professional photos from photographers to keep content current
  • Conduct competitive venue analysis
  • Plan and coordinate Wedding Open Houses in collaboration with the Private Events Director and Marketing team
  • Support additional projects as needed
  • Manage reservations for house events such as Easter and Mother’s Day
  • Serve as on-site host during those events
