About The Position

This role is responsible for processing high volumes of print, binding, scanning, and finishing work while maintaining exceptional quality standards. The associate will operate digital, color, and high-volume production printers, copiers, scanners, and related production equipment. They will serve as the primary point of contact for customer print requests, perform document finishing tasks, and conduct quality inspections. The position involves preparing and optimizing electronic files, converting files, and tracking/archiving customer jobs. Additionally, the associate will operate high-volume mail processing equipment, process faxes, maintain billing documentation, apply asset tags, update inventory databases, and coordinate office equipment moves. Routine operator maintenance and cleaning of production equipment are required, as is troubleshooting production issues and coordinating service requests. The role also includes training customer end-users on basic equipment operation and developing/improving work processes. Exceptional customer service and professional interaction with staff, clients, and management are essential. The role requires lifting and moving materials and equipment weighing up to 50 pounds.

Requirements

  • Strong knowledge of high-volume print production, binding, scanning, and finishing operations.
  • Proficiency operating digital production printers, copiers, scanners, and finishing equipment.
  • Intermediate proficiency with Microsoft Office, including: Microsoft Word, Microsoft Excel (formulas, sorting, filtering, graphs, data import/export), Microsoft PowerPoint
  • Ability to embed files between Microsoft Office applications and manage electronic documents.
  • Proficiency navigating network drives, printers, and shared resources.
  • Strong PC skills, including file management, email, web browsing, and data entry.
  • Ability to identify and resolve production issues while meeting customer deadlines.
  • Basic mathematical skills, including multiplication, division, percentages, and production calculations.
  • Strong organizational, time management, and multitasking skills.
  • Professional communication and customer service skills.
  • Ability to coach and mentor coworkers when needed.
  • Minimum of four (4) years of experience in a high-volume print production environment with print, binding, and scanning responsibilities.
  • At least one (1) year of customer service experience in a professional environment.
  • Experience with production scheduling, document finishing, quality control, and print workflow management.
  • Excellent verbal and written English communication skills and the ability to interact professionally with a diverse group are required.
  • High School Diploma or equivalent required.

Nice To Haves

  • Proficiency with Microsoft Excel and PowerPoint is preferred.
  • Experience supporting enterprise print environments is highly desirable.
  • Post-secondary technical training or equivalent work experience in print production, document services, or a related field preferred.

Responsibilities

  • Process high volumes of print, binding, scanning, and finishing work while maintaining exceptional quality standards.
  • Operate digital, color, and high-volume production printers, copiers, scanners, and related production equipment.
  • Serve as the primary point of contact for receiving, reviewing, electronically logging, scheduling, and tracking customer print requests.
  • Perform document finishing tasks using paper cutters, laminators, hole punchers, folders, inserters, and other finishing equipment.
  • Conduct quality inspections before, during, and after production runs to ensure customer specifications are met.
  • Estimate production timelines, prioritize workloads, and monitor job status to meet deadlines.
  • Prepare, optimize, and inspect electronic files for print production, including reviewing fonts, image resolution, image registration, and document formatting.
  • Convert files using standard software and integrate variable data into print templates as required.
  • Track, archive, back up, and retrieve customer jobs for future reproduction.
  • Operate high-volume mail processing equipment, including folding and inserting machines.
  • Process incoming and outgoing faxes and maintain billing documentation.
  • Apply asset tags to office equipment, update inventory databases, and coordinate office equipment moves, additions, and changes.
  • Collect equipment meter readings and maintain production and billing logs.
  • Perform routine operator maintenance and cleaning of production equipment.
  • Troubleshoot production issues and coordinate service requests with Xerox and third-party vendors when necessary.
  • Train customer end-users on basic equipment operation and usage.
  • Develop or improve work processes and production templates when appropriate.
  • Provide exceptional customer service while interacting professionally with staff, clients, management, and external customers.
  • Lift and move materials and equipment weighing up to 50 pounds as required.
