About The Position

Yancey Bros. Co. is seeking a Preventative Maintenance Service Coordinator to manage the field preventative maintenance process from start to finish. The coordinator ensures customers’ machines are maintained according to their service schedules by coordinating with customers and PM Field Technicians, scheduling services, monitoring work quality and timeliness, communicating service results, and invoicing after completion. The role also performs office administration, including accounts payable, technician efficiency reporting, and management of parts orders and returns.

Requirements

• At least 2 years of experience scheduling and controlling calendars for multiple people.
• Basic Excel skills, including creating columns and rows, copying and pasting data, and performing basic math computations.
• Ability to communicate successfully by phone, email, and in person with customers, technicians, and management.
• Strong organizational skills for scheduling work and dispatching technicians.
• Strong communication skills for maintaining relationships with customers and technicians.
• A sense of urgency and desire to provide superior customer service.
• Ability to work both independently and as part of a team.

Nice To Haves

• High school diploma or equivalent preferred.
• Prior experience as a dispatcher or service coordinator in the heavy equipment or rental industry.
• Knowledge of machine parts and/or machine operation.

Responsibilities

• Coordinate with customers and technicians to schedule required services.
• Create and open work orders.
• Communicate service status to management, customers, and technicians.
• Enter status updates into computer systems.
• Close work orders and verify labor time and parts orders.
• Create quotes.
• Create purchase order numbers and code invoices.
• Perform general office duties, including faxing, emailing, and answering phones.
• Participate in the required safety program and work safely.
• Perform additional duties as assigned by the manager.
