About The Position

This position provides central oversight and manages the administration of the Pre-clerkship program within the Undergraduate Medical Education (UGME) program at the Regina Campus. The role involves guiding administrative staff, developing workflows, policies, and procedures to ensure consistent program delivery across all sites and compliance with accreditation standards. The Coordinator will liaise between the Regina Campus and central College of Medicine offices, ensuring successful implementation of the pre-clerkship (years 1 and 2) program in Regina. This includes operational involvement in all aspects of pre-clerkship medical education delivery and a solution-oriented, collaborative approach to curriculum implementation. The position is also responsible for ensuring all legal health and safety requirements are met within the pre-clerkship program.

Requirements

  • A degree, preferably a master’s degree, in a related field (primarily Health Care, Administration, Education, Adult Education, Human Resources, or Psychology). A combination of education and experience may be considered.
  • At least five years of related experience.

Responsibilities

  • Directing and overseeing the pre-clerkship Regina team’s day to day operations.
  • Coaching, guiding, and supporting the pre-clerkship team to achieve team priorities.
  • Contributing actively to problem-solving and decision making to ensure consistency between implementation of CoM policies, procedures and learning experiences on both campuses.
  • Managing matters pertaining to the Regina pre-clerkship operations, including curriculum, curriculum delivery, infrastructure, and faculty involvement.
  • Ensuring the documentation of policies and procedures related to the Regina pre-clerkship program are current and available.
  • Tracking, analyzing, and reporting pertinent information for Regina Campus and UGME Leadership, such as recruitment needs, student movement, and program feedback.
  • Collaboration with Simulated Patient Educators (SPE) to communicate needs for standardized patients.
  • Leading the Regina-based student orientation with support from the Pre-Clerkship team.
  • Working with Student Services team members to identify trends and address student issues or processes for Regina campus functionality.
  • Monitoring Regina campus specific program feedback, attendance tracking, equipment or space concerns and forwarding to the appropriate individual for action.
  • Facilitating the delivery of the pre-clerkship program to ensure successful implementation in Regina.
  • Overseeing curriculum, resources, and Regina year one and two schedules.
  • Supporting the implementation of solutions to accreditation issues.
  • Supporting Coordinators in the delivery of curriculum modules where space, recruiting or other issues present obstacles.
  • Collating recruitment challenges and opportunities and addressing them to the appropriate COM leadership.
  • Advising the pre-clerkship team, AHS partners and CoM leadership on matters related to pre-clerkship implementation and operations.
  • Providing guidance related to medical education and processes.
  • Triaging issues that arise for Regina students and notifying Chair when immediate action is required.
  • Identifying and coordinating support for Regina-based faculty regarding teaching expectations, tools, and access to software.
  • Receiving concerns about faculty, conducting analysis, and presenting the concern to appropriate UGME leadership for action.
  • Ensuring participation in internal and external committees as the Regina pre-clerkship delegate.
  • Serving as a Regina voting member on committees identified with UGME and Regina Campus leadership.
