The Practice Specialist supports lawyers across the Disputes practice group, providing advanced administrative, operational, and strategic support for both litigation and transactional matters. This role is designed for remote flexibility, enabling collaboration with teams and clients. The Practice Specialist leverages expertise in legal processes, technology, and project management to ensure seamless delivery of client services and practice group initiatives. Overtime and flexibility in schedule is required from time to time.

Requirements

  • Minimum 5 years of experience in a law firm or professional services organization, with exposure to both litigation and transactional work.
  • Experience with paralegal activities preferred.
  • Associate’s or Bachelor’s degree preferred; high school diploma required.
  • Proficiency with Microsoft Office Suite, Adobe Acrobat, and remote collaboration tools.
  • Experience with litigation calendaring and software (Compulaw preferred); familiarity with transactional processes a plus.
  • Excellent organizational, communication, and analytical skills.
  • Ability to work independently and collaboratively in a remote environment.
  • Self-starter with flexibility to work overtime as needed.
  • Commitment to confidentiality, discretion, and accountability.
  • Strong time management and prioritization skills.
  • Ability to learn and apply firm principles and best practices.

Responsibilities

  • Provide specialized support for both litigation and transactional matters, including document production, organization, research, and client service.
  • Draft, format, and finalize a wide range of legal documents (correspondence, memoranda, briefs, motions, pleadings, contracts, agreements, etc.).
  • Proofread and review documents for accuracy, consistency, and compliance with firm standards.
  • Manage complex calendars, coordinate virtual and in-person meetings, depositions, and events, and facilitate remote collaboration using digital tools.
  • Oversee electronic filing with courts and regulatory bodies, staying current on requirements and deadlines for both litigation and transactional filings.
  • Maintain and organize client files and matter records in the firm’s document management system, ensuring accessibility for remote teams.
  • Prepare and process new client/matter forms, conduct conflicts searches, draft engagement letters, and assist with budgeting and billing processes.
  • Support time entry, work-in-progress tracking, and accounts receivable management for assigned partners.
  • Exercise judgment in delegating tasks to firm resources and track completion of delegated projects.
  • Serve as a point of contact for clients, outside counsel, and internal teams, facilitating communication and follow-up remotely.
  • Maintain and update contact lists, coordinate mailings, and manage digital communications as directed.
  • Track deadlines and status of cases/matters, proactively updating lawyers and relevant departments.
  • Assist paralegals and perform select paralegal duties as assigned, supporting both litigation and transactional teams.
  • Collaborate with other practice group support members, providing overflow and backup support as needed.
  • Contribute to practice group initiatives, process improvements, and technology adoption to enhance remote work capabilities.
