About The Position

The Practice Manager is responsible for managing, overseeing and ensuring the successful administrative, financial and operational aspects of multiple sites while mentoring and training other supervisors and staff. Essentially, a Practice Manager is accountable for delivering a(n): Inviting and hospitable environment where the patient feels appreciated, comfortable, and at ease. Exceptional experience where the patient will want to come back and refer their family and friends to the site for all their urgent care needs. Exceptional collaboration with team to support the company’s mission. Providing outstanding mentorship and training to newly hired site staff.

Requirements

  • 4-6 years of management experience (urgent care, medical practice, hospital, with multiple-site responsibility preferred)
  • Bachelor’s Degree in Business Management or other applicable degree preferred (will consider relevant management experience in lieu of degree)
  • Entrepreneurial spirit and proactive approach to business operations
  • Exceptional patient/customer service skills
  • Passion for outstanding results and compassion for those we work with and serve
  • Ability to successfully multitask and manage time efficiently and effectively with close attention to detail
  • Ability to work in a fast-paced/ever-changing environment and affect change
  • Strong computer skills (PC, Microsoft Office programs)
  • Ability to work well in a team environment and navigate situations outside of straightforward policy and protocol
  • Excellent leadership qualities including exceptional communication skills (verbal and written)
  • Bilingual a plus
  • Basic Life Support (BLS) certification required at time of hire

Responsibilities

  • Site Management: Scheduling supervisors, front desk, scribes, medical assistants, and x-ray technologists; coordinating site cleanliness, appearance, orderliness, and safety; monitoring patient visits, registration process, and post-discharge follow-up; managing site openings and closings; overseeing bank deposits, patient wait times, NPS, facilities management, patient follow-up, and DOH compliance; monitoring patient flow and daily operations; ordering supplies and testing equipment.
  • Business and Patient Management: Interacting with vendors and visitors; liaising with patients regarding concerns; maintaining patient confidentiality (HIPAA); monitoring site expense budget; inspecting facilities for repairs; following up with corporate departments for support; analyzing and reporting on business metrics (wait times, patients per hour, NPS, survey comments, Yelp reviews); creating action plans based on metrics.
  • People Management: Managing, monitoring, coaching, developing, and evaluating staff performance; building communication and partnerships with clinicians and regional medical leadership; implementing and monitoring CityMD culture; ensuring performance reviews are completed; collaborating with HR on development plans and employee relations (write-ups, suggestions for improvement, terminations); holding departmental meetings and on-site training; providing mentorship to new Supervisors.
