About The Position

The Practice Manager (PM) is responsible for the management and day-to-day operations of the Behavioral Health, Sports Medicine and Care Management. The role supports staff in providing the highest quality of patient care in accordance with Family Care Network policies and procedures. The position reports to the Chief Operations Officer and collaborates closely with management to develop and implement business plans to achieve near and long-term corporate goals. We are looking for a qualified, motivated individual who will fulfill the following: Assures the smooth business and clinical operations. Quality of Care is ensured by the development, and implementation of ongoing improvement of systems to support patient care and flow. Approves time off requests, reconciles and approves employee timecards and submits applicable action change requests. Develops office and clinical staff through coaching, cross-training, and participation in internal/external education opportunities to improve or enhance job skills. Models and maintains a positive working environment promoting FCN's vision and values. Coordinates physician and midlevel recruitment activities in collaboration with Human Resources. Strategically Plans for the Department: Prepares department goals and objectives that support system initiatives; conducts regular review of progress towards goals and demonstrates satisfactory progress towards goals. Develops implementation strategies for new or enhanced lines of service. Leadership: Supervises all aspects of site personnel management including recruitment and selection, orientation and training, performance evaluation and performance improvement and enhancement actions. Utilizes effective leadership and interpersonal skills. Supervise payroll, timecard administration for clinics. Develop office and clinical staff through coaching, cross training, and participation in internal /external education opportunities to improve and enhance job skills. Complete staff performance evaluations. Model and maintain positive working environment promoting FCN vision and values. Financial Responsibilities: Oversees accurate, timely and compliant capture of charges for services provided at site. Demonstrates a focus on cost management and cost reduction. Ensure timely approval and submission of invoices for clinic expenses. Monitors site and individual physician revenue, and expenses. profit/loss and production reporting, strategizing, and collaborating. with site owners and associate physicians to ensure financial success. Collaborates with accounting staff to create and monitor financial reports. Risk Management/ Quality Assurance: Ensure appropriate assessment and process resolution of compliance and regulatory issues. Composes and submits Issue Reporting. Follows guidelines for HIPAA, WISHA and other regulatory agencies. Participates in coding audits and education for providers. Keeps apprised of standards and changes in the industry and implements as necessary. Regularly maintain an adequate and safe environment to ensure compliance with state and federal regulations. Ensures that all medical and office equipment are in appropriate working order. Oversees building janitorial and maintenance. Attends management meetings/retreats, training sessions and/or other management functions. Communicates the status on all above on a regular basis to all physicians in the clinics, the Chief Operating Officer, and to administrative office as applicable. Other duties as assigned.

Requirements

  • High School Diploma or GED, or equivalent knowledge and skills obtained through a combination of education, training, and experience required.
  • Demonstrated knowledge of medical practice or similar office operations and functions.
  • Effective financial planning and reporting.
  • Proven employee relations including conflict resolution.
  • Prioritize and multitask detailed projects with frequent interruptions.
  • Solve problems issues and concerns in a professional manner.
  • Electronic Health Record (EHR) experience; EPIC experience preferred.
  • Ability to discern and maintain confidentiality. (i.e. HIPAA, proprietary information, etc.)
  • Comprehend and communicate information accurately and clearly (verbally and in writing, in person and via phone) with patients, all levels of personnel, and other individuals and groups.
  • Work as part of a team that shares and leverages the strengths of its members; model a positive work ethic and customer-friendly relations.
  • Proficiency with computer applications for health information systems, word processing, EMR, databases, spreadsheets (Excel), and email.
  • Employees are required to meet immunization standards in accordance with federal, state, and organizational health and safety guidelines, as applicable to the role.

Nice To Haves

  • Associate or Bachelor’s Degree in business management or related field preferred.
  • 3 or more years of experience in healthcare clinic/practice management; family practice experience preferred.
  • Experience in outpatient patient care management, care coordination, motivational interviewing and patient coaching experience preferred.
