About The Position

The Practice Manager (PM) is responsible for partnering with the Regional Director of Operations, doctors, Chief Operating Officer (COO), and support services to establish and maintain a successful team. The PM will work in conjunction with the Doctor on clinical aspects of the provider, practice, clinicians, hiring/firing of clinical personnel, and clinical practices. Essential duties include exhibiting outstanding customer service, leading by example, modeling company standards, supporting the company's mission, vision, and values, and ensuring alignment with the practice team. The role involves assisting with employment-related laws and regulations, nurturing positive relationships with providers through monthly meetings, understanding business responsibilities and key performance metrics, forecasting results, ensuring budgets and production expectations are met, managing bank deposits and petty cash, following HIPAA and other privacy/security policies, supporting patient flow, hiring and retaining quality talent, ensuring staff training, facilitating staff meetings, completing HR/payroll documents, developing corrective action plans in consultation with HR/COO, participating in local marketing, following OSHA safety standards, and performing additional tasks as assigned. The Practice Manager will also attend leadership meetings and trainings, manage reports and KPIs, and assist in creating capital equipment budgets.

Requirements

  • High School Diploma or equivalent required
  • 5 years leadership/management experience with direct customer/patient contact
  • 5-7 years experience in a professional environment
  • Demonstrated problem solver and self directed

Responsibilities

  • Assist in partnering with the Regional Director of Operations, doctors, and Chief Operating Officer (COO) and support services to establish and maintain a successful team.
  • Work in conjunction with the Doctor on clinical aspects of the provider, practice, or any of its clinicians.
  • Work in conjunction with the Doctor on the clinical practices of the provider, practice, or its clinicians or ancillary personnel.
  • Work in conjunction with the Doctor on hiring or firing of clinical personnel.
  • Exhibit outstanding customer service with the patient as #1 priority.
  • Assist providers in the timely and successful resolution of the non-clinical aspects of patient complaints, concerns, and questions.
  • Lead by example and partner with Human Resources to develop and deliver periodic performance evaluations for all staff.
  • Model the company's standard protocols and practices.
  • Support the company's mission, vision and values and ensure alignment with the practice team member.
  • Assist in complying with employment-related laws and regulations and employment-related policies and procedures.
  • Continually build and nurture a positive working relationship with the provider(s).
  • Organize monthly meetings to facilitate the resolution of concerns by the providers.
  • Understand the business responsibilities and key performance metrics for successfully managing the practice.
  • Forecast results and ensure all budgets and production expectations are met or exceeded.
  • Ensure financial data and records are balanced.
  • Ensure bank deposits are protected and made timely according to established guidelines and protocols.
  • Monitor, protect, and verify petty cash funds.
  • Follow HIPAA policies and procedures and other applicable privacy and security policies and procedures.
  • Support patient flow and maximize payroll hours by effectively scheduling staff.
  • Understand and provide oversight for the partner, doctor managed care component (scheduling, fee schedules, collections, etc.).
  • Partner with Human Resources to hire quality talent and follow hiring procedures.
  • Develop methods to retain key talent and reduce unwanted turnover.
  • Ensure staff is trained and current on processes, policies and procedures.
  • Facilitate regular staff meetings and daily a.m. huddles.
  • Complete and forward HR and payroll related documents accurately and timely.
  • Partner with the Regional Director of Operations, COO and Human Resources to develop corrective action/performance improvement plans for team members.
  • Consult with COO and/or Human Resources prior to delivering any written coaching or corrective action/warning documents.
  • Assist in participating in local marketing, including but not limited to joining local Chamber of Commerce, referral outreach, and participating in local job and health fairs.
  • Follow OSHA safety standards and perform quality checks quarterly to ensure practice is in compliance.
  • Perform additional tasks as assigned to achieve company goals.
  • Attend and engage in all Leadership meeting and scheduled trainings.
  • Manage reports and key performance indicators (KPI) to reach strategic financial and operational goals.
  • Be integral in creating capital equipment budget and request with supporting documentation.
  • Collaborate and support with other leaders to achieve company goals.
