Requirements

  • Five to ten years minimum experience in healthcare operations with emphasis on physician practice operations.
  • Bachelors degree required.
  • Manager experience required.

Responsibilities

  • Collaborate with the FGP OBGYN management team to implement, optimize, and monitor operational performance of front-end activities, including customer service, appointment scheduling, and front-end practice operations, to establish new and consistent standards.
  • Work closely with colleagues in the Faculty Group Practice to implement system-wide initiatives.
  • Oversee the daily management and operations of clinical and administrative MFM and Ultrasound staff.
  • Meet routinely with staff to review tasks and assignments, establish priorities, and allocate resources.
  • Evaluate employee performance, resolve employee issues, and address procedure and performance-related issues.
  • Authorize attendance, schedules, and sick time changes.
  • Establish office procedures and communicate responsibilities and expected performance to staff.
  • Train staff according to specific job responsibilities and expectations, ensuring appropriate cross-training and cross-coverage for all practice administrative activities.
  • Plan, coordinate, and schedule the interrelated activities of the practice office.
  • Resolve all complaints and problems using independent judgment and decision-making skills to ensure patient satisfaction and adherence to faculty practice standards.
  • Assist in the implementation of new technology for physician practices.
  • Work with the Business Manager-FGP, staff, and vendors to address physician concerns, operational, and IT issues.
  • Track issues as new physicians are brought onto the application.
  • Identify and quantify operational deficiencies impacting operations, process issues (scheduling, authorizations, registration, and billing), and assist in finding solutions.
  • Oversee the revenue cycle process for physician billing.
  • Direct the review and documentation of the charge submission process for all practices, determining and implementing best processes uniformly across practices.
  • Monitor weekly charge submission volume, charges posted, daily cash, incomplete charges, denials, collection reports, refunds, etc.
  • Conduct routine meetings with staff to discuss indicator results and redirect staff efforts as needed.
  • Assist in training office personnel for clinical and administrative activities.
  • Participate in ongoing training, development, and monitoring of staff.
  • Attend meetings, prepare minutes, and participate on committees as requested.
  • Recognize routine problems and recommend suggestions, ideas, and solutions.
  • Perform other varied functions as requested.
  • Determine and establish explanations for complex calls, issues, and questions not covered by specific instructions or common practice.
  • Receive, compile, classify, reconcile, and consolidate data from varied sources.
  • Maintain accurate, well-organized, up-to-date files for retrieval of needed documentation.
  • Compile daily statistical data as requested and report data monthly to appropriate parties.
  • Organize, prioritize, and expedite own work flow using independent judgment.
