About The Position

Mass General Brigham is seeking a full-time Practice Manager to lead the daily operations of their two Primary Care practices located in Natick and Wellesley, MA. These practices offer a full range of primary care services, from routine check-ups to complex diagnostic evaluations. The Natick practice currently has 3 providers and 6 staff members, with plans to grow to 6 providers and 12 staff members. The Wellesley practice has 6 providers and 9 staff members. In addition to managing day-to-day operations, the Practice Manager will drive strategic growth initiatives, enhance operational efficiency, support provider recruitment and retention, improve patient access, and identify opportunities for service and patient volume growth. The practices are open Monday through Friday from 8:00 a.m. to 5:00 p.m., and the Practice Manager is expected to be onsite for the majority of operating hours. This role collaborates with the Director of Operations, Primary Care and Medical Directors, overseeing site operations, budgets, and quality measures, and working with administrative, clinical, and leadership teams to achieve goals. The ideal candidate is an adaptable, dynamic people leader with proven operational experience, who is proactive, autonomous, and brings a strategic, creative mindset to problem-solving and continuous improvement. They should excel at building relationships, motivating teams, and aligning individuals around shared goals, while being an effective communicator and collaborator.

Requirements

  • Bachelor's Degree Related Field of Study required
  • Supervisory experience 5-7 years required
  • Experience working in a healthcare environment 5-7 years required
  • Strong understanding of Microsoft Office, including Excel.
  • Strong communication and organizational skills.
  • Strong and proven leadership skills.
  • Ability to work with staff of all levels.
  • Excellent time management skills.
  • Strong analytical and math skills.
  • Knowledge of Accounting Principles, physician billing, and revenue cycle management.
  • Ability to adapt to multiple and rapidly changing priorities and deadlines.

Responsibilities

  • Oversees the day-to-day administrative performance of secretarial and clinical support staff and manages staff schedules.
  • Evaluates daily staffing needs and coordinates replacement of staff.
  • Performs hiring, orientation, and evaluation of staff. Administers corrective action if appropriate.
  • Assists in the career development of practice employees through ongoing coaching, counseling, and training.
  • Ensures that all mandatory training is completed by staff and that HIPAA policies and procedures are adhered to by staff.
  • Evaluates, develops, and implements administrative systems and procedures designed to maximize practice operations.
  • Regularly evaluates and analyzes practice performance metrics to ensure optimal outcomes.
  • Collaborates with practice leaders on the preparation of the practice's annual budgets.
  • Oversees the department’s payroll, including the resolution of payroll issues.
  • Monitors patient billing activity to ensure compliance with revenue procedures.
