About The Position

Under the direction of the Director of Operations, the Practice Manager I manages division-wide administrative-related services. This includes policy and procedure development, orientation and training of new staff, and inter-departmental communication. The role involves maintaining knowledge of daily operations, assisting with compliance for Outpatient Services offices, conducting routine rounds, and participating in various committees. The Practice Manager is also responsible for administrative tasks such as interviewing and hiring clerical/technical staff, problem-solving with providers, managing purchases and payroll, and coordinating staffing plans. Effective communication with staff, physicians, and other departments is crucial, as is facilitating the integration of new providers. The position also supports quality improvement initiatives, manages patient satisfaction, and requires ongoing self-learning and attendance at mandatory educational programs.

Requirements

  • High School Diploma required.
  • One to three years in healthcare setting required.
  • Previous managerial responsibilities also required.
  • Exceptional communication skills.
  • Demonstrated understanding of medical practice dynamics and medical practice finance and budgeting.
  • Working knowledge of Office software (e.g. Excel, Microsoft Word, PowerPoint) and Medical Software is required.

Nice To Haves

  • Associates Degree in management, business, accounting or similar field, preferred.
  • Three years progressively responsible experience in these areas is strongly preferred.

Responsibilities

  • Manages division-wide administrative related services including policy and procedure development, orientation and training of new staff and inter-departmental communication.
  • Assists the Director of Operations and keeps other administrators informed of changes or issues.
  • Maintains complete knowledge of all aspects of daily operations in the Outpatient Services sites.
  • Completes performance evaluations for clerical and technical staff within the Outpatient Services division.
  • Assists with all aspects of compliance for the Outpatient Services offices, including JCAHO, OSHA, and laboratory services.
  • Assists Director of Operations with development and implementation of policies and procedures necessary to comply with JCAHO standards.
  • Conducts routine rounds in Outpatient Services sites to review compliance and follows through with corrective action plans.
  • Attends required meetings and/or conferences to maintain current knowledge base.
  • Actively participates in AOMC committees and attends routine monthly meetings in the absence of the Director of Operations.
  • Inspects medication areas monthly with the AOMC Director of Pharmacy and assists with resolution of any issues.
  • Attends monthly scheduled Outpatient Services and administrative staff meetings and conducts individual office meetings as necessary.
  • Responsible for coordination of orientation and training of all non-clinical staff.
  • Interviews prospective clerical/technical staff and hires according to HR policies.
  • Assists providers in various locations with problems, resolutions and risk management strategies.
  • Meets with Outpatient Services providers to identify their concerns and needs, nurturing relationships.
  • Familiar with basic contents of provider contracts and ensures compliance.
  • Provides feedback to providers on production/visit volumes, patient satisfaction scores and worked hours, and acts as a liaison to Outpatient Services Administration Medical Directors.
  • Coordinates, communicates, and problem-solves issues arising within the department and issues affecting other departments.
  • Responsible for reviewing and approving purchases requested by office staff, and maintaining adequate supply while minimizing cost and waste.
  • Reviews and approves weekly payroll for an assigned group of staff, ensuring HR policies are followed.
  • Works with other managers to develop staffing plans, approve requested time off, and adequately deploy float staff.
  • Demonstrates effective communication skills with staff, physicians, other department directors, and between other AOMC departments.
  • Assigns responsibilities to Outpatient Services coordinators and follows through on projects.
  • Facilitates smooth and timely integration of new providers into Outpatient Services.
  • Acts as a resource for questions for Senior administrative members if Director of Operations is not available.
  • Assists with technical and record keeping aspects of quality improvement process for the division and actively participates in the QIA process.
  • Evaluates needs and coordinates staffing plans with coordinators, responding to provider concerns/issues.
  • Follows progressive discipline policy when dealing with staff issues.
  • Initiates contact with patients to assist with complaint resolution.
  • Regularly monitors patient satisfaction scores for their individual offices and implements processes to maintain or improve scores.
  • Demonstrates awareness of self-learning needs and seeks ways to meet these.
  • Responsible for attending annual mandatory educational programs as required by the position.
  • Understands and demonstrates the importance of satisfying the needs of the customer/patient.
