About The Position

Buchanan Ingersoll & Rooney is a national law firm with a proven reputation for providing progressive, industry-leading legal, business, regulatory and government relations advice to our regional, national and international clients. We currently have an opportunity for an entry-level Practice Assistant in our Pittsburgh office to work with attorneys in our Labor & Employment practice group. Qualified candidates will have 1 - 3 years of experience in either Litigation or Labor & Employment. After the first month of employment, you have the opportunity to work remotely 2 days per week.

Requirements

A minimum of 1 year of experience as a litigation or labor & employment practice assistant (legal secretary).
Excellent time management and interpersonal communication skills.
Strong attention to detail, initiative, and follow-through.
Must have a positive can-do, team oriented attitude.
Ability to work efficiently and balance assignments/workflow from busy attorneys to meet time-sensitive deadlines.
Proficient in MS Word, Outlook, Excel, and other computer and document management systems.

Nice To Haves

1 - 3 years of experience in either Litigation or Labor & Employment.

Responsibilities

Prepare and format legal correspondence, printing, scanning, or converting various documents and other legal forms under time sensitive deadlines.
Prepare and format pleadings, discovery, and other litigation documents.
Prepare and file documents following court procedures and in federal, local, and/or state courts.
Run conflict checks, prepare engagement letters, and open new client matters within our onboarding system.
Maintain paper and electronic files through our document management system in connection with filing protocols and retention policies.
Manage busy attorney schedules through Microsoft outlook calendaring and track/monitor deadlines.
Coordinate travel arrangements through corporate travel companion, Navan.
Prepare and submit expense reports.
Assist with billing, attorneys’ time and Proforma review through 3E.
Work collaboratively with other practice assistants in your support team to provide administrative support to attorneys office-wide.
Adhere to firm policies, procedures, standards and guidelines while maintaining confidentiality.
Other related duties, as assigned.
