About The Position

The Clinic/Practice Assistant II supports the day-to-day operations of a pediatric outpatient psychiatry clinic by performing a blend of routine clerical and administrative functions. Responsibilities include scheduling and front-desk operations, managing prior authorizations and clinical documentation (e.g., medication and ROI forms), coordinating Patient Gateway communications, maintaining calendars and records, and supporting overall clinic organization. The role also provides administrative coordination for special projects and community initiatives, including The Resilience Project, such as referral management, registration tracking, invoicing, event logistics, and related support. This is an in-person position for 32 hours per week, typically across four weekdays during standard clinic hours (8:30am–5:00pm).

Requirements

  • High School Diploma or Equivalent required
  • 2-3 years office experience required
  • Proficiency with all Office Suite
  • Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
  • Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
  • Communicating effectively in writing as appropriate for the needs of the audience and talking to others to convey information effectively.
  • Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages.
  • Managing one's own time and the time of others.
  • Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.

  • Certified Medical Administrative Assistant [CMAA] - Data Conversion - Various Issuers preferred
