As a vital member of our clinical operations team, you’ll provide administrative expertise to ensure our practice runs smoothly, efficiently, and with a warm touch. What You'll Do? By owning the patient visit experience you’ll support clinical teams, keep operations humming and collaborate with your department on duties that may vary—no two days are the same! Job Summary Performs administrative functions to support smooth and efficient practice operations under general supervision. Performs tasks that are related to patient visits including scheduling, check-in, check-out duties. Actual job duties may vary by department.

Requirements

  • Bilingual Spanish Required
  • Minimum of a high school diploma or GED.
  • Minimum one year applicable work experience required.
  • Knowledge of practice operations and standards.
  • Understanding of procedures including filing, copying, scanning, printing, and faxing.
  • Ability to use phone system (answer and screen calls, put on hold), handle more complex calls and give more detailed information.
  • Ability to interpret information as appropriate, answer more complex questions in the most professional manner and communicate in a professional, courteous, clear and concise manner.
  • Ability to manage work processes in a neat and orderly way and to sort and alphabetize.
  • Ability to manage multiple tasks effectively, follows established protocols, and work within systems.
  • Ability to correspond and communicate with others clearly and effectively in writing (via e-mail, memo or interoffice note) and to take complete and accurate messages.
  • Ability to type accurately and enter data at an intermediate level.
  • Advanced computer skills.
  • Ability to use all applicable applications at highest competency level.
  • Understanding of the appropriate use and importance of related forms.
  • Intermediate understanding and use of medical terminology.
  • Intermediate comprehension of insurance types and referral process.
  • Intermediate comprehension of registration and fiscal information.
  • Knowledgeable and compliant with all hospital, State and Federal requirements (where applicable to job performance), including policy and procedures with The Joint Commission and HIPAA.

Nice To Haves

  • Some additional training in office systems or other post high school education preferred.

Responsibilities

  • Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
  • Make patient appointments and maintain appointment records.
  • Greet and assist patients.
  • Answer telephones, assist callers with routine inquiries, and schedule appointments.
  • File materials in patient folders, and print appointment schedules.
  • Process patient billing forms and scan documents to patient medical record/EPIC.
  • Call for patient medical records and laboratory test results.
  • Open and distribute unit mail or faxes.
  • Type forms, records, schedules, memos, etc. as directed.
  • May be required to accept co-payments.
  • Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
  • Acts as an EPIC "Super User" for scheduling, registration and billing systems (EPIC training is provided).
  • Provides assistance and training to others in these areas.
  • May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
