About The Position

This position involves supporting the Post Secondary Counseling program and administrative tasks within a department. The Post Secondary Counseling Assistant assists students in developing life and career plans under supervision, interacting with students, staff, parents, and college/career representatives. The Administrative Assistant I supports departmental operations, maintaining records, files, and assisting with various tasks. Both roles require organizational skills, independent judgment, confidentiality, initiative, and a collaborative approach. The position is 40 hours/week, 10 months, effective August 10, 2026.

Requirements

  • Must have or obtain State and NCLB Approved Paraprofessional designation in accordance with Illinois State Board of Education requirements.
  • Must have physical ability to lift/move supplies, materials and office equipment up to 40 lbs.
  • Must organize and prioritize workflow.
  • Must be proficient in the use of computers, office practices, procedures and office equipment.
  • Must project a positive image of the district to students, staff and parents as well as exhibit a positive employee attitude.
  • Must demonstrate appropriate interpersonal skills, and communicate clearly and respectfully with students, staff, parents, visitors and the general public.
  • Must have awareness of a variety of student needs including physical and social emotional needs.
  • High School Diploma or equivalent (for Administrative Assistant I role).
  • Must sit at workstation for extended period of time and/or move frequently from workstation to various other areas of building (for Administrative Assistant I role).
  • Must have strong organizational, communication, and public relations skills (for Administrative Assistant I role).

  • Working understanding of varying building needs and priorities as well as communicate with various departments, district partners/vendors in order to best support office needs.

Responsibilities

  • Assisting the Post Secondary Counselor, classes and individual students in the efficient and effective functioning of the College and Career Center.
  • Providing assistance to the student services division by performing various tasks including utilizing job specific software, maintaining files, helping students research opportunities, maintaining calendars, reviewing and processing applications, coordinating and announcing college applications, advertising material, sending newsletters, maintaining spreadsheets, and scheduling/supporting FAFSA completions.
  • Maintaining the College and Career Center by organizing materials, keeping equipment clean and in good working order, and recommending purchases.
  • Participating in appropriate professional development activities.
  • Cultivating and developing inclusive and equitable working relationships with staff, students and community members.
  • Providing support to department needs.
  • Creating and maintaining information relevant to the department.
  • Maintaining records of equipment and files consistent with department and district needs.
  • Supporting programs and special projects as indicated by the department.
  • Relieving the administration center receptionist according to a prepared schedule.
