About The Position

As a Portfolio Administrator, you will be responsible for supporting the planning, coordination, and administration of capital projects for the Saint John Refinery. Your goal will be to ensure seamless project administration by facilitating communication across teams, maintaining accurate documentation, and upholding governance standards throughout the project lifecycle. Your success will be demonstrated through effective coordination of project activities, timely reporting, and the consistent delivery of organized, compliant, and well-supported capital project processes. Requirements

  • Proficiency in Microsoft Office Suite, specifically Excel and PowerPoint
  • Understand lifecycle project management and capital portfolio/project planning
  • Experience tracking capital budgets, expenditures, and financial reporting
  • Ability to analyze data, identify variances, and support forecasting and funding decisions
  • Experience supporting multiple projects simultaneously in a structured program environment
  • Knowledge of project management principles (scope, schedule, cost, risk)
  • Ability to maintain project documentation, schedules, and performance metrics
  • Strong written and verbal communication skills for preparing reports and coordinating with stakeholders
  • Completion of an undergraduate degree in business or engineering
  • Minimum 5 years of progressive experience in a finance or project management role or suitable combination of both

Responsibilities

  • Coordinate and monitor multiple capital projects from initiation through close-out
  • Manage the end-to-end development, circulation, and tracking of approval packages
  • Provide daily operational support for project setup, reporting, and stakeholder coordination
  • Act as the administrator for the Saint John Refinery Capital Portfolio application
  • Prepare regular status reports and scorecards on project and program performance for stakeholders
  • Lead new and ongoing user training for the Saint John Capital Portfolio application
  • Support the development of the Refining multi-year capital plan by ensuring reports are distributed in a timely manner
  • Develop scorecards and update active plan for Refining multi-year capital plan to align to the Saint John Refinery Capital Portfolio application
  • Maintain audit-ready documentation for financial and operational reviews including project files and approval change logs
  • Work on Projects/assignments of limited scope and complexity with general guidance and independently resolve various routine problems
  • Other ad hoc duties as required including small scope assignments
