Policy Specialist and Grievance Coordinator

About The Position

This position will serve as the University Compliance Office’s Policy Specialist, providing support to the University Compliance Office and the Office of Human Resources in development, revision, and maintenance of University policies owned by the office. Duties and responsibilities will include: Managing the policy development and review process for all University Compliance Office and Office of Human Resources policies. Managing the policy development process for other campus compliance-related policies, as directed. This includes working with subject matter experts to develop new and update existing policies. Benchmarking peer institution policies and procedures on a variety of matters. Managing process for submitting policy revisions to the policy management system and the University’s Policy Review Committee (PRC) for University Compliance Office policies. Drafting, revising, and maintaining all University Compliance Office and Office of Human Resources policies, including assisting with internal identification of applicable policies for office notices and maintaining accurate records of policy revisions. Work with relevant University communicators to ensure policy information is accurately reflected in University communications, including websites. This position will also serve as the Grievance Coordinator for SHRA and EHRA Non-Faculty employees. Duties and responsibilities will include: Intake and assessment of SHRA and EHRA -NF grievances to determine if issues outlined in the grievance are covered by policy. Managing the grievance process for eligible grievances in accordance with defined policies and procedures, including management of the process at each step. Providing support to employees, respondents, grievance panels, and grievance panel chairs for navigating the grievance process. Working with partners in the UNC System Office, the University Office for Human Resources, and other campus partners. Incumbent may also serve as the Vice Chair and/or committee member of the EHRA Non-Faculty Grievance Committee and participate in EHRA Non-Faculty grievance hearings as a voting member of the committee.

Requirements

  • Excellent written and oral communication skills.
  • Technical writing and editing experience.
  • Detail oriented and able to analyze complex information.
  • Demonstrated analytical and critical thinking skills to formulate policy options, provide advice, and develop viable recommendations.
  • Demonstrated ability to conduct research, including benchmarking research on policies.
  • Demonstrated ability to multi-task and prioritize multiple projects in same timeframe.
  • Ability to become self-educated about new subject areas in policy.
  • Demonstrated ability to effectively manage tasks in an organized manner.

  • Ability to establish and maintain positive, professional relationships with administrators, faculty, and staff.

Nice To Haves

  • Previous policy development experience.
  • Experience working with formal grievance processes or with conflict resolution.
  • Previous experience with laws administered by the UCO, including Title VI, Title VII, Title IX, VAWA, Clery, and related laws.
  • JD preferred.
  • Experience at a large university and/or with compliance/non-discrimination policies at a similar institution.
  • Strong proficiency in Microsoft Office Word, Excel, and Outlook.
  • Experience working with diverse populations.
