About The Position

UNDP hosts the Secretariat of the Executive Board of UNDP, UNFPA and UNOPS, and is also responsible for administering the United Nations Capital Development Fund (UNCDF), the United Nations Volunteers (UNV) programme, and for hosting the United Nations Office for South-South Cooperation (UNOSSC). The Executive Board, under the authority of the Economic and Social Council (ECOSOC) and in line with the overall policy guidance of the General Assembly, provides intergovernmental support to and oversight of the activities of UNDP, UNFPA, and UNOPS. It is mandated to ensure responsiveness to the needs of programme countries. The Executive Board Secretariat provides strategic advisory services to the President and Bureau of the Board; engages with Member States and observers in support of their oversight functions; and ensures the effective organization and management of Board meetings, enabling Member States to provide strategic direction to UNDP, UNFPA and UNOPS.

Requirements

  • An advanced university degree (Master’s degree or equivalent) in International Relations, Public Administration, Law, Economy or other related field, is required. Or A first-level university degree (bachelor’s degree) in the above-mentioned fields of studies in combination with an additional (2) two years of qualifying experience will be given due consideration in lieu of an advanced university degree.
  • Minimum of 2 years (with master’s degree) or 4 years (with bachelor’s degree) of relevant experience at the national and/or international level in policy analysis, drafting and support to intergovernmental processes or multilateral coordination mechanisms.
  • Proven experience in research and analysis.
  • Demonstrated experience in drafting high-quality briefing notes, talking points, and analytical materials for senior-level stakeholders.
  • Ability to synthesize complex information and present it in a clear and concise manner.
  • Fluency in English, both oral and written, is required.

Nice To Haves

  • Working knowledge of French is highly desirable.
  • Experience supporting intergovernmental bodies, governing bodies, or UN system coordination mechanisms is highly desirable.
  • Advanced user of computers and office software packages (MS Word, Excel, etc.) and experience with web-based management systems.
  • Experience and understanding of contemporary outreach communication platforms, including social media.
  • Proven track record of excellent writing and oral communication skills.
  • Experience in monitoring, reporting, and quality assurance of programmes or projects.
  • Experience working in a multicultural and multidisciplinary environment, including collaboration across teams or institutions.

Responsibilities

  • Provide analytical inputs on global, regional and intergovernmental processes relevant to the Executive Board Secretariat’s work.
  • Draft and contribute to high-quality briefing notes, talking points, correspondence and background materials for senior management and governing body engagement.
  • Monitor relevant platforms (e.g., Quantum+, UNITY, CRM tools) to extract data supporting Board engagement, resource mobilization, and reporting.
  • Support the preparation, processing, and quality assurance of documentation for the formal and informal meetings of the Executive Board (session reports, Bureau notes, decisions tracking tables, briefing packages).
  • Provide rapporteuring and note-taking support during Board and Bureau meetings, including preparation of accurate and timely records of intergovernmental and inter-agency meetings.
  • Assist in the drafting, finalization and editing of preparatory documents, talking points, and summary reports.
  • Support organizational aspects of the Executive Board’s field visits and the meetings of the Board, liaising with relevant country offices and inter-agency partners as necessary.
  • Contribute to planning and follow-up of meetings, including preparation of agendas, background notes, and related communications.
  • Facilitate coordination with UNDP colleagues and other Board secretariats on cross-cutting issues.
  • Provide support in maintaining and updating the Executive Board Secretariat’s digital platforms, including the website and archives.
  • Contribute to the preparation of digital content and tools for Board engagement, and support in-session IT and conferencing arrangements.
  • Assist with preparation and collection of statements, speakers lists, and other procedural aspects of sessions.
  • Contribute to the development and maintenance of knowledge products, repositories, and communities of practice related to Board governance and oversight.
  • Synthesize lessons learned and best practices from Board processes, supporting capacity-building for Secretariat colleagues and stakeholders.
  • Support inter-agency initiatives and thematic coalitions to advance coordination of UNDP/UNFPA/UNOPS with other UN entities.
  • The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization.
