About The Position

The Victim Services Assistant provides reception, administrative and operational support to the RCMP daily through the use of all relevant police databases, computer related software and communication devices. Acting as first point of contact for Victim Services, this role is responsible to answer inquiries from both internal and external stakeholders over the phone, electronically and in person both on a routine and crisis basis. In addition, it is responsible to maintain all records and files pertaining to Victim Services including but not limited to providing daily direction to volunteer advocates, processing Victim Impact Statements, Restitution requests for the court clerk, preparation of month end returns for the government, administrative office tasks, manages inventory control and attends events when directed.

Requirements

  • Completed 1yr Certificate in an Administrative Professional program from a recognized post-secondary institution as well as Grade 12
  • 2 years of direct experience in a policing environment, specific to Victim Services
  • 2 years of experience as an Administrative Professional in an office setting.
  • 1 year of experience working with Microsoft Office Suite (Word, Excel PowerPoint) and Adobe Acrobat.
  • Strong written and verbal communication in the preparation of documents and the maintenance of records combined with a strong understanding of the law as it relates to Victim Services.
  • Ability to pass RCMP security clearance prior to receiving an offer of employment
  • Must maintain RCMP security clearance throughout employment
  • Ability to type 55 wpm accurately
  • Must be able to satisfactorily complete tested courses in: RCMP PROS User Course, RCMP CPIC Maintenance Course, Justice and Solicitor General online E-Learning and Victim Advocate Core Training and RCMP Records Information Manager Course
  • Must be able to satisfactorily complete required on the job training
  • Must be able to work shift work

Responsibilities

  • Maintain accurate, timely, and compliant records across police and victim services databases to support investigations, court processes, victim service delivery, RCMP audits, and statistical reporting.
  • Open, update, and manage victim files; assign and track volunteer advocate tasks; monitor court activity and outcomes; and ensure appropriate victim follow‑up, information, and support.
  • Provide comprehensive administrative support including records management, document preparation, scheduling, meeting and event coordination, travel arrangements, inventory control, and office equipment maintenance, while ensuring confidentiality and proper record retention.
  • Serve as a professional point of contact for RCMP members, City staff, external agencies, victims, and the public, providing courteous, confidential service and coordinating information and projects across partners.
  • Assist with the development and maintenance of Victim Services procedures and policies; support program leadership and advocates with daily operations, scheduling, training coordination, health and safety compliance, and other assigned duties.
