About The Position

Independently performs the full range and variety of clerical work in report reviewing, records analysis and warrants processing in the Police Records section of the Kauai Police Department; and performs other related duties as required.

Requirements

  • A combination of education and experience substantially equivalent to graduation from high school; and three (3) years of specialized experience.
  • Specialized Experience Work experience in police records keeping, central police report follow-up work, or processing and maintenance of police records.
  • As applicable to the position, must be qualified to carry and/or possess firearms or ammunition in accordance with State and Federal laws, e.g., no misdemeanor or felony domestic violence conviction.

Responsibilities

  • Independently processes police reports for 1st, 2nd, and any subsequent readings by reviewing initial and supplementary reports
  • Reviews reports to ensure proper classification and disposition of cases, correcting erroneous data on reports and in an accessible RMS database, submitting “open” cases to in-house bureaus for follow-up investigation, reviewing reports for final consolidation
  • Maintains and updates data for quality assurance of the Records Management System (RMS) and data relative to the crime statistics reporting
  • Abstracts crime statistics and related data from police reports, records and other material and post to monthly tally sheets according to classification of offenses and categories
  • Computes and posts monthly totals, averages and other required figures from data posted to statistical records
  • Compiles data for and prepare required monthly and annual statistical reports for submission to the Federal Bureau of Investigation (FBI), State of Hawaii Bureau of Crime statistics, Chief of Police, Police Commission, and other agencies
  • Processes warrants, summons, subpoenas, writs, and other legal documents by reviewing for completeness and accuracy of the document(s)
  • Corrects erroneous data and requests additional information and/or documents from appropriate agencies as necessary
  • Issues firearms permits and registers firearms
  • Obtains and provides approved information from police reports and records to governmental agencies, private agencies, and private citizens
  • Searches and extracts data from files for officials of the FBI, US military personnel and other governmental agencies
  • Answers inquiries from attorneys, court officials, other government agencies and the general public pertaining to the status of warrants, summons and other legal documents
  • Prepares letters and correspondences as required
  • Files reports and other miscellaneous materials
  • May code, review, and compile reports in accordance with the Hawaii State penal code and Uniform Crime Reporting (UCR) system
  • May process expungement orders of the Hawaii Criminal Justice Data Center (CJIS)
  • May process legal documents from police departments of other jurisdictions as required
  • May perform duties related to receipt of bail
  • May assist in arranging for proper disposition of evidence and purging of files when proper
  • May train personnel in the review of police reports
  • Operates general office equipment
  • Performs other related duties as required
