About The Position

The Police Administrative Services Coordinator is responsible for providing administrative support, including confidential matters, to the Chief of Police, Deputy Chief, Police Captains, and the Police Department for the City of Casselberry. This role also involves overseeing assigned department projects. The position requires independent work within established policies and procedures.

Requirements

  • An Associates degree (A.A./A.S.) in business administration or related field is required. A comparable combination of education and experience may be considered.
  • A minimum of five (5) years’ experience in office, business administration, Law Enforcement Organization or related field is required.
  • Must possess and maintain a valid Florida Driver’s license.
  • A Motor Vehicle Record (MVR) check will be made to determine acceptance of past driving record.
  • Florida Department of Law Enforcement level background clearance.
  • Knowledge (intermediate to advanced level) of law enforcement theory, principles, and practices and their application to a wide variety of services and programs.
  • Knowledge (intermediate to advanced level) of standard law enforcement information, communications, and record keeping terminology.
  • Knowledge (intermediate to advanced level) of pertinent federal, state, and local laws, codes, and regulations and department rules, policies, and procedures, to include public records laws.
  • Knowledge of business management practices.
  • Skill in effectively dealing with the public and other agencies.
  • Ability to operate a motor vehicle.
  • Ability (intermediate to advanced level) of Microsoft Office Suite, e.g., Outlook, Word, Access, Excel, PERCS Index Quartermaster (QM) database program and other related programs.
  • Intermediate math skills.
  • Ability to multi-task.
  • Ability to understand, interpret and apply pertinent federal, state, and local codes, laws, and regulations.
  • Ability to establish and maintain effective working relationships with other employees and the public.

Responsibilities

  • Provides daily administrative support to the Chief of Police, Deputy Chief, and Police Captains.
  • Acts as Fiscal Procurement Agent and the department’s Purchasing Card Program Coordinator, managing budget analysis, quotes, requisitions, procurement card purchases, invoice reconciliation, and budget updates.
  • Serves as Federal Task Force Agent Fiscal Coordinator, maintaining records for overtime/expenditures for reporting to federal departments.
  • Collaborates with internal and external City departments and the Police Department for efficient operations.
  • Maintains a high level of customer service, screening callers, responding to emails, scheduling meetings, and coordinating with the public and Police Department.
  • Manages reimbursement processes for the City County Investigative Bureau (CCIB) and related state forfeiture processes.
  • Processes payroll for the Police Department for accuracy before submission to the Finance Department.
  • Handles registration and declassification of confidential tags.
  • Completes Commission agenda items and coordinates MOUs and MOAs.
  • Tracks and initiates education reimbursements for eligible law enforcement officers.
  • Manages and coordinates the department’s grant process, including requirements, implementation, optimization strategies, research, application preparation, agreement processing, and follow-up on reports.
  • Oversees invoicing, accounting, reporting, and other administrative functions for grant execution.
  • Provides detailed quarterly reports to grant funders on department progress.
  • Monitors paperwork and documents connected with grant-funded programs.
  • Maintains records of all payments and receivables and prepares monthly records for grant-related activities.
  • Performs duties consistent with City core values, policies, and safe working practices.
  • Prepares and distributes memorandums and agendas for Police Department meetings.
  • Processes Police Department timesheets for biweekly payroll.
  • Completes required training and applies acquired knowledge.
  • Adheres to laws, regulations, and policies of the City and Department.
  • Follows instructions from the Department Director or designee.
  • Participates in department and staff meetings.
  • Prepares documents and obsolete/expired inventory for destruction according to law and policy.
  • Performs special projects and other assignments as directed.
  • Participates in emergency management as required, supporting disaster preparation and recovery efforts.
