About The Position

The Lake County Clerk & Recorder's Office is seeking a Plat Room Technician. This role is responsible for maintaining the ownership of individual parcels of real property in the tract books within Lake County. The position involves organizing, processing documents, researching, and assisting the public and other agencies in the land documentation process. The technician will also be responsible for the upkeep and accuracy of various county maps and ensuring the legality of property transfer documents before recording.

Requirements

  • At least 2 years of experience in a clerical field working closely with the public.
  • Extensive knowledge and understanding of legal land descriptions and documents.
  • Ability to interpret legal descriptions and chain of title.
  • Skilled in drafting and map reading.
  • Ability to proof and interpret land documents for posting to the County's tract book records.
  • Knowledge of and experience with Microsoft Word, Excel, email and Internet.
  • Ability to learn and use various online research sources and systems used by the county.
  • Prepare work in a timely manner simultaneously with interruptions.
  • Respond to public inquiries in a pleasant, efficient and professional manner.
  • Ability to establish effective working relationships with other department personnel, fellow employees, supervisors and the public.
  • Must be very detail oriented.

Responsibilities

  • Organizing, processing documents, researching and assisting the public and other agencies in the land documentation process.
  • Posting and filing new Subdivisions, Certificate of Surveys or Amended Plats and scanning them into the computer system.
  • Checking the computer information input on Section Maps by the GIS Department.
  • Upkeep inventory of the City & Town Maps, School District Maps, Fire District Maps, Zoning Maps, Precinct Maps, etc., as necessary.
  • Check documents that transfer real property prior to recording from Title Companies, E-recording companies, over the counter and mail to make sure legal is correct and transferrable.
  • Researching problems that have been brought to our attention and keeping records of this research for future reference.
  • Assisting Title Companies, Attorneys, Department of Revenue, Surveyors and other County departments with problem documents and making suggestions when appropriate to correct the problem.
  • Meet with the Clerk & Recorder to discuss research and review information given in the COS & Plat application process.
  • Repair of the tract books, maps and other documents if damage occurs.
  • Re-scan illegible scans of Certificates of Survey or Plats and replace them in the computer.
  • Responsible for prioritizing projects that need to be done by the plat room.
  • Other duties as assigned.
