About The Position

Capital Health is seeking a Physician Office Manager to oversee operations in a primary care setting. This role involves direct collaboration with providers to optimize scheduling and resource allocation, ensuring maximum productivity and efficient use of exam rooms and equipment. The manager will be responsible for staff scheduling across multiple locations, potentially involving cross-coverage, and will make recommendations for practice growth and volume enhancement. Key duties include approving expenditures, managing office inventory, ensuring readiness for nighttime services, and overseeing the hiring, performance appraisal, and disciplinary actions for office staff. The position requires adherence to organizational policies, laws, and DNV-GL standards, including coding requirements. The manager will also interact with insurance companies and central billing offices regarding billing and referral procedures, research new plan feasibility, and participate in the budgeting process, monitoring budget compliance and managing accounts payable. For those in MFM, facilitating bi-weekly case conferences is also a responsibility.

Requirements

  • High school diploma or GED.
  • One year of experience in a healthcare office setting with supervisory duties.
  • Excellent organizational, interpersonal, conflict resolution, and verbal and written communication skills.
  • Solid knowledge of and experience in billing and health insurance guidelines and practices, including commercial, CMS and managed care payers.
  • Solid knowledge of and ability to use electronic health records, scheduling, charging and billing systems.
  • Intermediate to advanced computer skills.
  • Proficient with Microsoft Word and Excel.
  • Ability to effectively manage multiple locations.
  • Ability to respond efficiently and effectively within the realm of several fast-paced environments.

Nice To Haves

  • Bachelor's degree in business.
  • Knowledge of insurance (ICD-9/10 coding, CMS regulations, state/federal regulations, CLIA, DOH, OSHA regulations).

Responsibilities

  • Implement provider scheduling to ensure maximum productivity.
  • Coordinate scheduling of resources including exam rooms and equipment.
  • Schedule staff to ensure adequate coverage, potentially requiring cross-coverage between locations.
  • Make recommendations to enhance growth and volume of practices.
  • Approve all expenditures.
  • Manage office inventory of adequate supplies and equipment.
  • Assure supplies and set up for efficient nighttime services are carried out.
  • Interview and hire staff for various locations, adhering to salary budgets.
  • Appraise performance, reward, and discipline employees.
  • Address complaints and resolve problems.
  • Carry out management responsibilities in accordance with organization's policies and applicable laws.
  • Complete timely and accurate statistical reports (e.g., monthly referrals, provider hours, vacation, monthly financial information).
  • Attend CH meetings as assigned.
  • Coordinate practice management participation in provider meetings and conduct staff meetings with documented minutes.
  • Focus on patient satisfaction goals to increase volume.
  • Ensure performance reviews, in-service education, and employee compliance issues are addressed.
  • Operate in a fiscally responsible manner to achieve operational efficiency and adhere to policies.
  • Ensure physicians and staff adhere to DNV-GL standards and coding requirements.
  • Interact with insurance and managed care companies and central billing office regarding billing and referrals.
  • Research feasibility of accepting new plans and complete applications.
  • Participate in the budgeting process and make recommendations for equipment needs.
  • Monitor budget compliance and take action to avoid variances.
  • Manage office accounts payable activities.
  • Arrange and facilitate bi-weekly case conferences (if working in MFM).
