About The Position

Capital Health is seeking a Physician Office Manager II for its Rheumatology Specialists practice. This full-time, day shift position involves working directly with providers to optimize scheduling and resource allocation, including exam rooms and equipment. The role requires managing office inventory, approving expenditures, and ensuring adequate supplies for efficient operations. The manager will be responsible for interviewing, hiring, and managing staff across various locations, adhering to salary budgets, and conducting performance appraisals. Key responsibilities include completing statistical reports, attending meetings, coordinating practice management participation, and conducting staff meetings. The manager must operate fiscally responsibly, achieve operational efficiency, and adhere to established policies. Ensuring adherence to DNV-GL standards and coding requirements is crucial. The position requires interaction with insurance and managed care companies regarding billing and referrals, researching new plan acceptance, and completing applications. Participation in the budgeting process, monitoring budget compliance, and performing accounts payable activities are also key duties.

Requirements

  • Bachelor's degree in business or health-related field or 5 years management experience in lieu of a degree.
  • 2 years of Office Management experience required with Bachelor's degree.
  • Excellent organizational, interpersonal, conflict resolution, and verbal and written communication skills.
  • Knowledge of insurance (ICD-9/10 coding, CMS regulations, state/federal regulations, CLIA, DOH, OSHA regulations) preferred.
  • Solid knowledge of and experience in billing and health insurance guidelines and practices, including commercial, CMS and managed care payers.
  • Solid knowledge of and ability to use electronic health records, scheduling, charging and billing systems.
  • Intermediate to advanced computer skills.
  • Proficient with Microsoft Word and Excel.
  • Ability to effectively manage multiple locations.
  • Ability to respond efficiently and effectively within the realm of several fast-paced environments.

Responsibilities

  • Implement provider scheduling to ensure maximum productivity.
  • Coordinate scheduling of resources including exam rooms and equipment.
  • Schedule staff to ensure adequate coverage, potentially requiring cross-coverage between locations.
  • Make recommendations to enhance growth and volume of practices.
  • Approve all expenditures.
  • Manage office inventory of adequate supplies and equipment.
  • Ensure supplies and set up for efficient nighttime services are carried out.
  • Interview and hire for various locations, adhering to salary budget.
  • Appraise performance, reward, and discipline employees.
  • Address complaints and resolve problems.
  • Carry out supervisory responsibilities in accordance with the organization's policies and applicable laws.
  • Complete timely and accurate statistical reports (e.g., monthly referrals, provider hours, vacation, monthly financial information).
  • Attend CH meetings as assigned.
  • Coordinate practice management participation in provider meetings.
  • Conduct staff meetings on an ongoing basis with documented minutes.
  • Focus on patient satisfaction goals to increase volume.
  • Ensure that all performance reviews, in-service education, and employee compliance issues are addressed on a timely basis.
  • Operate in a fiscally responsible manner to achieve operational efficiency and adhere to established policies, practices, and procedures.
  • Ensure physicians and staff are adhering to DNV-GL standards and coding requirements.
  • Interact with insurance and managed care companies and central billing office to keep current on procedures for billing and referrals.
  • Research feasibility of accepting new plans and complete applications with input from the billing manager.
  • Participate in the budgeting process and make recommendations for equipment needs.
  • Monitor budget compliance and take action to avoid variances above budget.
  • Perform responsibility of accounts payable activities on office expenditures.
