About The Position

The Physician Hub Operations Lead serves as the primary on-site steward for a shared, state-of-the-art community workspace for physicians. The workspace functions as a member-only communal facility with daily-use offices, kitchen, wellness rooms, and lounge. Based within BSD People Services, the Operations Lead ensures a welcoming, efficient, and well-managed environment by providing front-of-house support, overseeing daily operations and resources, troubleshooting issues, and serving as a trusted point of contact. The Physician Hub Operations Lead participates in an on-call rotation to support hub operations beyond standard business hours.

Requirements

  • Minimum requirements include a college or university degree in related field.
  • Minimum requirements include knowledge and skills developed through 5-7 years of work experience in a related job discipline.

  • Experience in customer service, facilities operations, hospitality, or academic/clinical administrative support.

Responsibilities

  • Serve as the primary on-site point of contact for physician members, providing professional, welcoming, and responsive experience.
  • Orient members to hub amenities, shared offices, technology, and policies.
  • Address member questions and service requests, resolving issues or escalating as needed.
  • Manage daily operations to ensure the hub is safe, clean, functional, and well maintained.
  • Oversee appropriate use of shared offices, common areas, storage, showers, and meeting spaces.
  • Partner with facilities, environmental services, and security to address maintenance, access, and safety needs.
  • Maintain inventory of supplies and enforce shared-space guidelines with professionalism.
  • Provide first-level support for printers, workstations, badge access, and in-hub technology.
  • Submit and track service requests related to technology and infrastructure.
  • Connect faculty to appropriate institutional resources as needed.
  • Manage reservations for shared offices, meeting rooms, lockers, and other hub resources.
  • Monitor space utilization and recommend improvements to access and efficiency.
  • Oversees BSD-wide online room and guest office scheduling.
  • Act as a liaison between faculty and People Services, Facilities, IT, and other partners.
  • Document recurring issues, faculty feedback, and operational trends; provide regular updates to leadership.
  • Participate in a rotational on-call schedule to support hub operations outside standard business hours.
  • Respond to urgent space, access, safety, or technology issues in accordance with escalation protocols.
  • Uses best practices to develop and execute organization's operational and overall strategic plan.
  • Develops and implements relevant policies and procedures and ensures compliance.
  • Works with minimal guidance in space, facilities, and equipment, including renovations, moves, maintenance and ongoing facilities operations.
  • Performs other related work as needed.
