About The Position

Under the direction of the Sr. Manager, Laboratory Outreach Services, this role supervises team members of Laboratory Services related to the daily operational needs of the department. The Phlebotomy Supervisor ensures that operational decisions align with all department, hospital, and regulatory guidelines. A key aspect of this role is implementing processes that standardize department operations across the Rochester General Health System.

Requirements

  • Must have the knowledge of the skills required to perform the duties outlined under the duties and responsibilities of Phlebotomist, Sr. Phlebotomist and Specimen Procurement Lead
  • 6 years relevant experience performing functions with progressively more responsibility
  • Supervisory or leadership experience required
  • Computer skills required
  • Valid NYS driver’s license

Responsibilities

  • Monitor the changing of the daily schedule.
  • Oversee handling of sick calls and dispatching staff as needed.
  • Establish guidelines annually based on staffing and operations to approve ETO/PTO and disseminate process/policies to team members managing oversight of all processes.
  • Complete and sign off employee timesheets for Phlebotomy Services team members and submit for processing.
  • Maintain bi-weekly pay summary reflecting hours worked, charge backs, ETO, PTO, mileage and OT for department.
  • Attend all meetings associated with the operations of the department, provide input as it relates to Phlebotomy Departments Operations, and disseminate information to Sr. Manager and/or staff as appropriate.
  • Work in conjunction with Engineering, Purchasing and Materials Management to assure the availability, delivery and maintenance of supplies and equipment required to guarantee department productivity within departmental fiscal requirements and responsibilities.
  • Adhere to staffing and supply budgets, notifying Senior Manager of discrepancies.
  • Be sufficiently available to the department team as a coach and mentor and to provide supervision as needed and to maintain open communication with staff as related to operations, job performance and expectations.
  • Provide education and counseling when appropriate as related to performance issues as well as documenting performance related issues for Performance Improvement.
  • Accurately document, research, and report on patient complaints/concerns as they are received or as requested following all organizational policies and following CMS guidelines.
  • Review and update Department Policy and Procedure Manual annually and seek approval for changes based on departmental, organizational or regulatory processes and communicate approved changes to team members, department Sr. Manager and other organizational departments and/or clients, as appropriate.
  • Provide oversight for the completion of all Quality Assurance error documentation reports and maintaining statistical data related to errors. (Quantros)
  • Mentor, coach, educate and counsel team members related to performance issues affecting success within the position.
  • Work with the Education Coordinator (Specimen Procurement Lead), to assure accuracy in all policies associated with specimen collection (Phlebotomy), completion of annual competencies as well as maintain department policies for COC Drug Screen Procedures and Competency and monitor documentation on the competency and education of team members associated with DOT training for COC Drug Screens as appropriate.
  • Work with the Education Coordinator to assure that team members are performing within policy and standards and that remediation associated with competency and education is prompt assuring positive patient outcomes.
  • Initiate and participate in the peer interview process for the hiring of all new team members.
  • Perform probationary and annual performance appraisals for department team members and document as necessary.
  • Interact with People Resources to provide support to team members to assure performance requirements of the position and standards of the organization are met.
  • Take appropriate and necessary disciplinary action up to and including ending the employment relationship. Documenting as necessary.
  • Make sure Employee files in HR and Lab Administration are kept up to date with performance appraisals, mandatory education, regulatory information, etc. Reviewing annually.
  • Round, cascade information and huddle with team members and document as appropriate.
  • Interact with clients, physicians and patients to assure that service standards and contractual obligations are being met.
  • Proactively determine and eliminate operational issues inhibiting the provision of required service standards based on organizational expectations and contractual obligation.
