About The Position

The Philanthropy Administrative Assistant is responsible for providing comprehensive operational, administrative, and strategic support that enables gift officers, who are geographically dispersed across three US time zones, to cultivate, solicit, and steward donors effectively. This role ensures that all behind-the-scenes infrastructure, including scheduling, data management, research, reporting, and interdepartmental coordination to advance fundraising outcomes.

Requirements

  • Must have at least an Associate degree or equivalent experience in nonprofit management, business administration, communications, general administrative, and/ or support experience. Bachelor's degree preferred.
  • 3–5 years of experience in development operations, advancement services, donor relations, or administrative support within a nonprofit or fundraising environment.
  • Strong organizational and project management abilities with attention to detail.
  • Customer‑service mindset, problem-solving skill with a positive and collaborative approach, in a fast-paced environment.
  • High degree of initiative and ability to work independently.
  • Excellent written and verbal communication skills.
  • Proficiency with CRM systems (e.g., Salesforce, Raiser's Edge, or similar donor databases) and strong skills in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience handling confidential information with discretion.
  • Ability to manage scheduling, travel logistics, and meeting preparation with time management skills.
  • An understanding of and a commitment to advancing the mission and values of Opportunity International.
  • Written and verbal fluency in English required, fluency in French or Spanish desirable.

Responsibilities

  • Manage calendars, schedule donor meetings, coordinate meeting preparations, and organize proposal materials, including personalized and mass outreach correspondence.
  • Arrange travel logistics and handle post‑meeting follow‑up actions.
  • Process expenses and maintain workflow systems.
  • Assist with gift officer portfolios to ensure balance and productivity, attending support meetings.
  • Provide pipeline forecasts, dashboards, and performance reports.
  • Conduct donor and prospect research and provide capacity ratings.
  • Configure and maintain CRM systems in collaboration with cross-departmental teams, safeguarding data integrity.
  • Support events through project management, logistics, and collateral coordination.
  • Manage communication and scheduling for CEO‑related donor interactions.
  • Assist with collateral creation, distribution, and gift processing collaboration.
