About The Position

Under the supervision of the Pharmacy Manager, and according to standard procedure, the Coordinator-Pharmacy Technician Operations is responsible for developing and planning the nonprofessional operations of the department. This can include, but is not limited to, coordinating procurement, workflow, processes and services related to drug, equipment, and supplies. This includes tasks such as purchasing, diversion auditing, technology management, inventory management, distribution, and record keeping for medications in the pharmacy department as well as the associated clinics and departments that require medications; initiating purchase orders for pharmaceuticals, supplies, and service contracts; receiving and distribution of supplies, processing purchase requisitions, authorizing payment for wholesaler invoices, maintaining adequate inventory levels, providing inventory action and communication relative to shortages, recalls, alternative product source and selection. They collaborate within their facility and across the system as necessary for medication ordering, inventory management, medication distribution, auditing, and record keeping, ensuring that all regulatory standards are met and maintained. In addition, they maintain an active technician certification and the competency to be able to assist in times of extreme technician shortage or emergency.

Requirements

  • Minimum Required: High School Diploma or GED.
  • Pharmacy technician certification (Preferred: PTCB pharmacy technician certification).
  • Certified technician registered with the state of Ohio Board of Pharmacy.
  • Minimum Required: 3 - 5 Years equivalent experience in Hospital/Health System Pharmacy or Equivalent.
  • Ability to work independently with minimal direct supervision; work cooperatively with health-system and pharmacy staff; handle frequent interruptions and adapt to changes in workload and work schedule; set priorities, make critical decisions, and respond quickly to emergent requests; exercise sound professional judgment; communicate effectively (orally and in writing); and meet the pharmaceutical care needs of the patient populations served by UC Health.

Responsibilities

  • Creates and maintains processes for medication, supplies, and equipment procurement to ensure optimal inventory management: Coordinates drug procurement operations and proper inventory management practices to ensure critical drug availability at all times Oversees medication and pharmaceutical supply purchasing processes including procurement of medications and other pharmaceutical supplies, working with hospital wholesaler, vendors, and freight companies, and other departments within UC Health Maintains all purchase records, invoices, receipts and inventory control records as required Orchestrates accurate inventory value assessment annually or as directed and in accordance with internal audit processes Manages purchasing of medications in accordance with policy for 340B compliance (if applicable to site) Coordinates inventory to resolve/manage backorders, shortages or recalls and secures acceptable product alternatives when necessary. Evaluates and adjusts par levels in response to ongoing utilization, shortages, waste and critical needs. Manages vaccine purchasing and compliance oversight within scope (VFC program, etc.) Manages oversight of emergency supplies (bioterrorism, influenza, chempack, etc.)
  • Contributes to the quality and effective operation of the department: Participates in the recruitment, retention, performance enhancement and competency assessment of subordinate staff in collaboration with Pharmacy management team members. Establishes productive, collaborative relationships with team members Participates in department and hospital system continuous quality improvement and medication safety initiatives where appropriate. Coordinates, orients, trains, and provides functional guidance to designated Pharmacy Technicians and support staff including cross-training across teams/locations as applicable Participates in the development of tools and standards to establish and improve competency levels of the pharmacy technician, student, and support staff including orientation of new employees, in-service training, and competency assessments. Maintains active technician certification and competency to be able to assist in operations where needed Participates in error reviews and collaborates with leaders to positively change operational processes for error prevention Leader at process improvement committee and leads changes with a positive attitude Assists with technology and downtime processes when needed Writes daily schedule for technicians to ensure proper coverage at all times
  • Assists departmental leadership with financial management of medication/supplies: Coordinates and maintains timely flow of purchasing and receipts with Accounts Payable Maintains responsibility for loan/borrow process with other hospitals and ensures timely processing of any charges within accounts payable department processes Generates purchasing and inventory reports as requested by departmental leadership Monitors inventory on an ongoing basis, making adjustments where needed in order to optimize inventory turns and minimized drug expirations Utilizes technology provided to optimize inventory maintenance and location Able to demonstrate ability to maintain an accurate inventory value assessment annually and assumes responsibility for providing final numbers to finance in their desired format
  • Ensures that the department meets or exceeds all regulatory and accreditation standards related to their scope of practice and/or audit: Design processes to ensure compliance with UC Health policy and procedures Works to ensure the pharmacy department is in compliance with all applicable rules and regulations as set forth by the Ohio Board of Pharmacy, Drug Enforcement Agency, CMS, Joint Commission, URAC, USP rulings, and all other federal, state and local entities to which we are accountable. Performs audits of purchasing/receiving processes to ensure compliance with company policy and regulatory requirements Assist in development and implementation of policies/procedures or Standard Operating Procedures (SOPs) relating to area of responsibility Develop, prepare, and maintain work/activity data and summary reports for compliance Prepare for and maintain records of all onsite audits and be present to handle audits and disputes Ensure all audits/responses are being completed and submitted by due dates Review audit results with leadership and communicate opportunities associated with findings Maintain records, review and participate in any accreditations and audits of the Medicare program Responsible for staying up-to-date on audit practices and opportunities
  • Ensures that the department meets or exceeds all requirements of the Drug Supply Chain Security Act as set forth by the federal government (as applicable to their site/function): Implements daily processes to ensure all information is captured as medications move in/out of the organization Maintains knowledge of DSCSA progress and requirements as set by the federal government Implement technologies and processes at site to ensure compliance Train pharmacy staff on DSCSA requirements and site level processes Maintain collaborative relationships with current vendors and ensure compliance across the drug supply chain to troubleshoot issues when they arise Responsible to provide all necessary reporting for FDA request/audit, state regulatory audit, or trading partner investigation.
  • Coordinate and assist with human resource activities within the area of responsibility: Interview and recommend selected applicants for employment Assist in personnel orientation, training, and development Fosters a team environment by providing continuous feedback during orientation and training of new team members Assists with evaluation of personnel and gives continuous feedback for technical team members Assists with corrective action input or recognition, as appropriate
