About The Position

The Pharmacy Shipping Coordinator is responsible for ensuring the daily receiving, shipping, and inventory control aspects of the pharmacy are maintained. This role involves verifying inbound shipments, performing the established pharmacy receiving process, inputting invoice details into pharmacy software, and managing inventory movement according to FIFO or FEFO principles. The coordinator will also be responsible for the proper storage and packing of products, ensuring compliance with temperature requirements and Standard Operating Procedures. Additionally, the role requires accurate completion of all documentation, including shipping documents like waybills and packing slips, and assisting with administrative functions. The position acts as the final check to ensure the correct prescription reaches the correct destination and utilizes various carrier software. Training and understanding of Kroll, the pharmacy software system, as it relates to receiving functions is required.

Requirements

  • Proficient in English language (reading, written, oral and mathematics).
  • Ability to lift and move up to 50 lbs.
  • Ability to perform repeated reaching, bending and lifting daily.
  • Able to work in a cold environment daily.
  • Ability to maintain confidentiality and use appropriate judgment.
  • Ability to work accurately with a strong attention to detail.
  • Ability to work well under pressure in time sensitive situations.
  • Ability to shift priorities quickly to meet deadlines.
  • Good organizational and multi-tasking abilities.
  • Independent worker, requiring minimal supervision.
  • Ability to operate material handling equipment such as reach truck, Walkie, pallet jacks and/or forklifts as required.

Responsibilities

  • Verifying all inbound shipments for quantity and any shipping damage.
  • Performing the established pharmacy receiving process and ensuring quantities invoiced match received quantities.
  • Inputting invoices and product details into pharmacy Kroll software.
  • Reviewing receiving documents for accuracy and product pricing discrepancies.
  • Quarantining of product related to all inbound receipts and returns as outlined in the pharmacy SOPs.
  • Managing inventory movement in a FIFO or FEFO manner (first-in-first-out, first-expiry-first-out).
  • Ensuring proper storage of all inbound receipts.
  • Verifying all products received against accompanying documentation for product, quantity, shipping location, and box pack out accuracy.
  • Packaging all orders in accordance with temperature requirements and Standard Operating Procedures.
  • Assessing suitability of packaging requirements based on shipping destination and weather circumstances.
  • Ensuring all documentation is completed accurately, including preparing shipping documentation (waybills and packing slips).
  • Performing production assembly, including cold chain and ambient box assembly and conditioning of bricks and blankets for pack outs.
  • Monitoring and replenishing shipping materials as needed.
  • Assisting with administrative functions such as filing.
  • Ensuring all sensitive products outlined by the pharmacy SOP are handled and labelled accordingly.
  • Being trained and understanding Kroll, the pharmacy software system, as it relates to receiving functions.
  • Acting as the final check to ensure the right prescription reaches the right destination.
  • Utilizing various carrier’s software, such as FedEx, Purolator, ATS, etc.
