About The Position

Responsible for managing TGH Imaging’s day-to-day personal injury operations. The role’s primary function is to adequately oversee the entire personal injury operational process to ensure maximum efficient, production and quality. To include, a continual assessment of the personal injury program for needs and opportunities for continued optimization and/or improvement with the intent to aggressively grow personal injury exam volumes.

Requirements

  • Previous supervisor or team lead experience.
  • High school diploma or equivalent.
  • Previous experience in the back-office setting; preferably in medical records, personal injury and one-on-one experience with physicians.
  • 1-3 years of auto / personal injury imaging business operations
  • Knowledge of customer service concepts and clinic policies including safety, privacy and HIPAA regulations.
  • Knowledge of personal injury.
  • Knowledge of medical records operation of a medical office.
  • Knowledge and application of all the Company’s policies and procedures.
  • Knowledge of basic medical terminology.
  • Skill in managing people and the department.
  • Skill in completing job functions in a timely manner.
  • Skill in using computer and medical records software and PACS competently to process patient images and department information.
  • Skill in multitasking at a high volume/high stress level.
  • Ability to communicate clearly in person and over the phone to establish/maintain cooperative relationships with patients, families, physicians and team.
  • Ability to read, understand, and follow oral and written instructions.
  • Ability to establish and maintain effective working relationships with physicians, outside referring physician offices, patients, team, management and direct reports.

Responsibilities

  • Manage operational internal compliance at all sites to include but not limited to; scheduling, next day exam file preparation, registration, proper exam routing, report finalization and quality, producing CD and report, and contacting marketing representatives to pick-up and delivery when indicated on the profile.
  • Travel to sites to perform on-site work oversight, training and general review of process compliance.
  • Manage PI exam worklist assignment based on preference and/or insurance carrier.
  • Manage outside PI radiologists’ relationships.
  • Ensure image and document transmissions are completed with accuracy and efficiency.
  • Train transcriptionist for PI external reader PACS systems, train front desk team members on PI required paperwork and processes.
  • Submit requests for PI exam slots as needed and when the slots are not needed making sure to have the blocks removed.
  • Manage the PI department: Schedulers and Facilitator. (train, cover, hire, approve PTO etc.)
  • Cover the following roles as needed, scheduler, facilitator, and or back office.
  • Periodically spot check report quality.
  • Maintain a strong relationship with PI marketing team (Medical Marketing Specialists).
  • Participate in PI marketing events when requested.
  • Establish credentialing and obtaining access for PI contracted reading radiologists, CV’s, license and any other documents that are needed. To include PS360 credentials access and report sign off capabilities.
  • Oversee processes to ensure physician and attorney preferences are strictly adhered to.
  • Responsible for maintaining special requests for all PI referring physicians and attorneys.
  • Schedule depositions with requesting attorneys and PI reading radiologists.
  • Review PI staffing (scheduling, PSR, registration process, medical record report and CD distribution) efficiencies between all the sites to ensure consistency of service.
  • Work with managers and radiologists to resolve and improve efficiencies.
  • Manage call volume in Brightmetrics.
  • Make appropriate adjustments to scheduling resources and duties as needed based on call volume.
  • Manage incoming faxes through fax server, emails and communication with Marketing team.
  • Work with IT/RIS teams for any set-ups that are needed, system issues and system improvements.
  • Responsible for communicating to the PI team and management when new MRI protocols are made/changed.
  • Responsible for maintaining relationship with Synergy. This includes communication, improvements, issues, submitting employee access, terminating access, ordering supplies and assisting with patient accounts.
  • Approve month-end reconciliation for the following: PI payments to contracted outside PI dedicated reading radiology groups.
  • Function in a team environment and assist other team members when needed.
  • Maintain communication with team members and senior management.
  • Attend and complete annual compliance meetings.
  • Perform any and all additional duties as assigned.
