About The Position

Exer Urgent Care is the largest urgent care chain in Southern California with 60+ locations across Los Angeles, Ventura, San Bernardino and Orange Counties. Exer’s medical professionals can take care of the majority of the procedures being handled in the ER today at a fraction of the price and in a much more comfortable setting with shorter wait times. We have recently broadened our patient community to include law firms who we allow to refer patients with a lien. Employee is responsible for supporting the growth of Exer’s new Personal Injury (PI) program. As part of this responsibility, the employee will be required to assist with developing professional relationships with PI law firms and supporting the law firms, the clinics and the PI patients to drive a successful experience that encourages repeat referrals from law firms.

Requirements

  • Must be patient-focused and always deliver company’s high level of customer service in a compliant, professional, courteous, sensitive and positive manner
  • Team player who is dependable and accountable with strong sense of urgency
  • Excellent interpersonal and communication skills (written and verbal) in both English and Spanish with ability to market and promote Exer services on phone and in-person at law firm offices
  • Ability to multitask and maintain organization and communication within a multi-department working structure
  • Must be effective at using MS Office software products (i.e. Microsoft Outlook, Word, Excel, Smartsheet)
  • Must be knowledgeable and effective in using EMR system (i.e. Experity), a CRM system, and DocuSign
  • Knowledge of HIPAA, OSHA and other State and Federal requirements preferred
  • High school degree, plus relevant work experience
  • Minimum of 3-5 years of professional work experience, ideally having worked in an Exer Urgent Care clinic where patient workflow and systems understanding is key to being effective

Responsibilities

  • Assist in identifying and proactively pitching qualified law firms on Exer’s lien program, including cold outreach and in-person pitch presentations to law firm staff and surgeons
  • Maintain detailed notes on communication with all law firms as well as all contact information in CRM
  • For lunch and learn meetings with law firms, arrange for food
  • Send signed liens and pre-op orders to clinic staff, alerting them of PI visit and give instructions on workflow
  • Validate all PI visits are registered accurately with correct law firm and all necessary documentation is accurate to produce medical records and bills
  • Maintain proactive and consistent daily communication with all PI law firms on status of all signed and unsigned liens and any patients who have not yet visited to drive conversions
  • Maintain accurate reports on law firms, liens initiated, liens signed, patient visits and dropped patients
  • Verify all documents are collected and accurate
  • Translate questionnaire and/or assist Spanish-speaking patients so that documentation is accurate and readily available to our med-legal provider for completion of medical documentation
  • Assist with preparation of medical records (as trained) and/or serve as a liaison between internal teams (e.g. medical records, billing and ops teams) and law firms to ensure timely delivery of all medical records/bills to law firms
  • Prepare and present ad hoc and reoccurring reports on PI business metrics
  • Conform to all applicable HIPAA, Billing Compliance, and organizational safety policies and guidelines
  • Perform other duties required to help company meet its goals
