About The Position

A highly accomplished Pittsburgh executive, entrepreneur, and former professor is looking for an equally exceptional Personal Executive Assistant to become his right hand. This role involves taking ownership of the countless moving pieces of the executive's life, including managing a startup, fundraising, travel, a busy household, and aging parents. The ideal candidate will be a 'trusted operator' who can anticipate needs, manage logistics, and free up the executive's time for high-level tasks. Responsibilities include researching and scheduling appointments, planning travel, coordinating personal and business appointments, managing bills and deadlines, researching service providers, and occasionally assisting with children's activities. While a Home Manager handles traditional household duties, this role focuses on executive-level personal support, research, coordination, scheduling, problem-solving, communication, and logistics. The goal is for the assistant to eventually manage virtually all personal and professional logistics that do not require the executive's specific expertise. The position offers significant flexibility in schedule and hours, starting around 20 hours per week with the potential to grow. The candidate should be Pittsburgh-based and comfortable traveling between the family's Fox Chapel home and the executive's Lawrenceville office. The executive values integrity, intelligence, initiative, and work ethic over a perfect resume, and has a history of investing in and promoting talented assistants.

Requirements

Responsibilities

  • Researching and scheduling appointments, comparing options, and managing calendars.
  • Planning fundraising travel and organizing family travel.
  • Coordinating bids for renovations and finding service providers like instructors.
  • Scheduling wealth management meetings.
  • Managing travel from beginning to end, including pre-trip planning and providing clear travel information.
  • Protecting blocks of uninterrupted time on the executive's calendar.
  • Coordinating personal and select business appointments.
  • Managing bills and deadlines.
  • Researching and communicating with service providers and contractors.
  • Occasionally assisting with children's activities, appointments, forms, and logistics.
  • Removing logistical tasks from the executive's mental load.
  • Managing virtually all aspects of personal and professional logistics that do not require the executive's expertise.
