About The Position

I’m hiring a high-trust Personal Assistant to serve as a long-term right hand. This is not a typical admin role. It is a high-responsibility position supporting a founder and investor across business and personal life. The right candidate brings structure, judgment, discretion, and calm execution to a fast-moving environment. If you are highly organized, digitally fluent, and take pride in running a tight operation — this role may be for you. What You’ll Own: Calendar & Time Architecture Full ownership of business and personal calendar integrity Coordination alongside Executive Assistant monitoring inbox Weekly planning review + daily prioritization Eliminate scheduling friction and prevent conflicts Outcome: Time is protected, intentional, and structured. Personal & Family Operations Childcare coordination (babysitters, au pair, scheduling) Family travel planning Household appointments and logistics Oversight of household staff Personal errands as needed Outcome: Home life runs smoothly and predictably. Travel Management Book and manage complex travel (business & personal) Detailed itineraries and contingency planning Ground transport coordination Outcome: Seamless, stress-free travel execution. Event Planning (NYC-Based) Own planning of weekly/monthly dinners and small events Venue selection, guest coordination, vendor management Assist videographer with scheduling logistics Outcome: High-quality, well-executed events. Personal Financial Administration Coordinate with tax attorneys and bookkeeper Assist with bill pay and expense tracking Ensure key deadlines are met Outcome: No financial or administrative loose ends. Digital & Operational Fluency (Critical) Excellent digital note-taker (structured, searchable, organized) Strong with modern productivity tools (Notion, Slack, Google Workspace) Comfortable using AI tools to increase efficiency Able to document processes and build simple systems Basic social media fluency (coordination, light posting, scheduling support) Outcome: Information is captured, organized, and actionable — nothing lives only in someone’s head. Who You Are 5+ years supporting a senior executive or founder Exceptionally organized and detail-oriented Strong judgment and calm under pressure High integrity and discretion Proactive — you anticipate rather than react Comfortable with accountability and high standards Clear, concise written communication This is a long-term role for someone who wants to become an operational anchor. Working Style On-site in Wayne, NJ Structured weekly planning meeting Brief daily check-ins as needed Primarily standard business hours Occasional responsiveness evenings/weekends (uncommon but important) Compensation Competitive market compensation based on experience.
